Trusted Supply is a growing recruitment business specialising in the commercial construction and fit-out market. We are looking for an ambitious and highly organised Accounts & Payroll Assistant who is eager to learn, take responsibility and build a long-term career within accounts and payroll.

This is an excellent opportunity for someone at the beginning of their career who has the right attitude, strong attention to detail, and a genuine interest in finance and payroll. Previous experience in a similar setting would be useful but full training will be provided. We are more interested in finding someone dependable, switched-on, and willing to learn whilst rolling up their sleeves.

You will receive hands-on training and support internally, initially helping to coordinate our contractor payroll preparation, invoicing, accounts administration, and credit control. As Trusted Supply continues to grow, we intend to bring more of our payroll operation in-house, giving the successful candidate the opportunity to develop their knowledge and take on greater responsibility over time.

This will be a varied role within a close-knit team. Alongside your core accounts and payroll responsibilities, you will also support occasional business administration, company events, and wider projects.

Your responsibilities

Contractor payroll preparation

  • Collating and checking weekly contractor timesheets
  • Liaising with contractors and clients to obtain timesheet approvals
  • Supporting the onboarding of new contractors
  • Collecting and checking documentation, bank details, and account information
  • Setting contractors up on the relevant internal systems
  • Issuing and maintaining policy and compliance documents
  • Helping ensure payroll information is accurate and submitted on time

Accounts and invoicing

  • Creating and sending permanent recruitment invoices each week
  • Liaising with consultants to confirm fees and terms of business
  • Entering and maintaining accurate accounts information in Xero
  • Supporting the management and monitoring of company budgets
  • Preparing quarterly VAT information for submission to the company accountants

Supplier invoices and payments

  • Collating and recording incoming supplier invoices
  • Checking invoices for accuracy
  • Processing payments through the relevant approval process
  • Maintaining clear and accurate payment records

Credit control

  • Establishing relationships with client accounts departments
  • Monitoring outstanding invoices and debtor days
  • Sending payment reminders by email and following up by telephone
  • Escalating overdue debts where required
  • Maintaining accurate records of all credit-control activity

Management information

  • Calculating and distributing weekly billing figures
  • Creating and distributing client spend reports
  • Helping maintain accurate financial information for the management team

Wider business support

  • Assisting with general administration when required
  • Supporting the organisation of company events and team activities
  • Getting involved in wider projects as the business continues to grow

What we are looking for

  • A genuine interest in developing a career in accounts and payroll
  • A proactive attitude and strong willingness to learn
  • Excellent attention to detail and confidence working with numbers
  • Strong organisation and the ability to manage recurring deadlines
  • Clear and confident communication by telephone and email
  • A dependable, hardworking, and team-focused approach
  • Confidence using Microsoft Excel and other computer systems
  • Previous accounts, payroll, Xero, or administrative experience would be beneficial but is not essential
