Payroll Systems Project Specialist

Contract Type: Permanent
Location: Milton Keynes (MK4 4BX) minimum 1 day a week in Milton Keynes

Grade: RCS K

DHL are seeking a highly skilled and experienced individual to fill the role of Payroll Systems Project Specialist and join our dynamic team in HR Shared Services. The successful candidate will be responsible for leading complex HR and Payroll systems projects, ensuring they align with our company's digitisation strategy, programme goals, and meet legal and regulatory requirements.

The UK Payroll Systems Project team are experts in DHL Supply Chain's Payroll related systems. They are responsible for being a key lead to the design, implementation and rollout of complex payroll related system projects. This role is expected to work across functions and systems including, but not limited to, Payroll (ResourceLink), Time and Attendance (Kronos), HR Management Systems (Oracle E-business Suite/Oracle HCM Cloud), Employee Benefit Administration (Pensions/C2W etc.) and Finance (Oracle e-business suite), and be a mentor and advisor to relevant teams.

WHAT DOES THE ROLE ENTAIL?

As part of your normal duties, you will:

Customer Management

  • Engage with regional/country HR stakeholders; provide solutions for medium/high complexity payroll system issues.
  • Support vendor management for third-party payroll systems.
  • Collaborate with Global BPO and HRDO teams on design approvals.

System & Process Management

  • Document current systems/processes, legal requirements, and internal controls.
  • Develop “as-is” and “to-be” designs aligned with digitalisation strategy.
  • Collect and assess improvement needs from business requirements and change requests.
  • Drive continuous improvement initiatives; evaluate cost/benefit and recommend changes.
  • Escalate unresolved changes or priorities.

Internal Controls & Compliance

  • Align HR/payroll systems with HR IT architecture and digitalisation strategy.
  • Maintain documentation of system usage, customisations, and internal controls.
  • Define/improve system-related controls and regulatory compliance.
  • Implement approved changes; communicate updates and keep documentation current.
  • Provide expertise on HR/payroll design and processes internally and externally.
  • Track audits and remediation actions.

Project Management

  • Perform gap analysis between current and future system architecture.
  • Align changes with departmental needs; onboard change agents.
  • Contribute to implementation plans and timelines.
  • Create scripts, lead User Acceptance Testing, and update system-level documentation.

WHAT DO WE NEED FROM YOU

  • Ideally 3+ years in-depth HR, payroll or relevant project experience
  • Expert understanding of transactional HR processes related to payroll systems and processes in particular
  • Ability to analyse payroll systems and processes and provide recommendation for optimizing them
  • Good general business and operational management experience
  • Basic technical knowledge of global and regional systems, ideally Oracle HCM Cloud, Kronos Workforce Central and ResourceLink
