Job: Payroll & Finance Coordinator

Job Description

Main Responsibilities/Overall Purpose

Saica Group provides sustainable recycled paper, corrugated cardboard and flexible packaging manufacturing solutions as well as solutions for waste management and the recovery of waste. Sustainability at Saica begins with our values – we care, we value, and we challenge.

This role is responsible for providing the site with Finance, Payroll and HR support to ensure the accurate and timely flow of data between the site, the Finance Shared Service Centre, central HR and Head Office.

The role's primary focus is to ensure that payroll and month end results are produced accurately and on time, supporting other ad hoc queries on plant results as and when required. In addition, the role also acts as the local point of contact for payroll queries and is responsible for supporting the People Manager with HR administration.

Specific Tasks/Accountabilities

Finance
  • Work with the Finance Controller to ensure the timely delivery of monthly and year end results.
  • Support the site management team with cost analysis, overhead reports, and commentary.
  • Prepare accruals, prepayments and month end journals.
  • Assist the Controller with balance sheet reconciliations.
  • Ensure Group Policies and audit requirements are embedded at site level.
  • Ensure local fixed asset administration is correctly maintained (e.g. Bank guarantees, copy contracts etc).
  • Expedite resolution of AP errors and provide guidance to process owners on accurate transaction processing.
  • Supplier statement reconciliations, query resolution, and GRNI review.
  • When required, generate Purchase Orders and receipt goods in line with standard processes.
  • Process customer invoicing.
  • Assist with financial and non-financial KPI reporting including Balanced Scorecard.
  • Assist the FC with financial projects.
  • Work cross functionally to support process and system improvements.
Payroll
  • Provide first tier HR administration support, including payroll queries, recruitment, maintaining employment contracts and employee files, holidays and other absence queries.
  • Co-ordinate all HR administration and processes on site, liaising with the People Manager for guidance on Group policies and processes.
  • Provide support for monthly HR reporting, supplying data for the month end HR dashboard.
  • Administer offers of employment and ensure all documentation is completed and returned correctly.
  • Ensure leaver processes are followed, including processing leaver surveys.
  • Provide support to Line Managers with induction programmes for all new starters.
  • Undertake any other duties as requested by their line manager in accordance with the scope and the responsibilities of the role.
