About The Role

Shakespeare's Globe is currently seeking an experienced Payroll Manager to join our team on a permanent, part-time basis, working 21 hours per week. This pivotal role involves managing and overseeing the organisation’s in-house payroll and pension functions, ensuring accuracy, compliance, and timeliness across all processes. The Payroll Manager will be responsible for administering payroll for approximately 375 permanent employees and a variable workforce of around 400 casual, PAYE, and non-PAYE workers through weekly and monthly payroll cycles. Additionally, the role includes overseeing four pension schemes—NOW pensions, Aviva, Equity, and Musicians Union—ensuring their smooth operation and compliance with relevant regulations.

The successful candidate will work closely with the Payroll Assistant and collaborate with various departments, including Finance and People & Culture, to streamline payroll and pension processes, implement automation where possible, and maintain robust controls. The role involves preparing detailed payroll reports, managing final approvals, and ensuring that payroll payments are processed and released in accordance with organisational policies and delegated authorities. The Payroll Manager will also handle payroll and pension queries, resolve discrepancies, and escalate high-risk or complex issues for senior management review.

Qualifications

The ideal candidate will possess a proven track record in payroll management, ideally within a complex or multi-scheme environment. Relevant qualifications such as a payroll certification or accounting qualification are desirable. Strong understanding of payroll legislation, pension schemes, and compliance standards is essential. Excellent numerical and analytical skills, coupled with proficiency in payroll software and Microsoft Office applications, are required. The ability to communicate effectively across departments and handle sensitive information with discretion is crucial. Prior experience working in the arts, cultural, or non-profit sectors is advantageous but not mandatory.

Responsibilities

  • Manage end-to-end payroll processes for all employee categories, ensuring accuracy and compliance with legal and organisational standards.
  • Oversee the administration and reconciliation of four pension schemes, ensuring timely contributions and adherence to regulations.
  • Collaborate with the Payroll Assistant and other departments to automate payroll processes, improve controls, and optimise workflows.
  • Prepare and review payroll reports, ensuring data accuracy and timely submission for approval and payment processing.
  • Ensure timely and accurate processing of payroll payments, including salary, pensions, and statutory deductions.
  • Handle complex payroll queries, discrepancies, and policy deviations, escalating issues as necessary for resolution.
  • Maintain up-to-date knowledge of payroll legislation, pension regulations, and best practices, implementing necessary changes.
  • Support internal audits and external compliance checks related to payroll and pensions.
  • Contribute to the development of automated payroll systems and controls to enhance efficiency and accuracy.
  • Assist in preparing payroll-related documentation and reports for senior management and external stakeholders.
