Role Purpose

The Payroll Administrator is fully accountable for the accurate, timely and compliant delivery of payroll for KDB UK employees. The role manages all payroll activities from data collection and validation through to payroll processing, statutory reporting, reconciliations and employee support, ensuring employees are paid correctly and on time.

Working closely with Finance, People & Communications and external payroll providers, the Payroll Administrator maintains payroll records, ensures compliance with UK legislation and supports continuous improvement of payroll processes.

This is a Part-Time (22-28 hours per week) position, we can be flexible on start and finish times.

Key Responsibilities

Payroll Management

  • Take full ownership of the monthly payroll process for approximately 70 UK employees.
  • Prepare, validate and submit payroll data accurately and within agreed deadlines.
  • Manage all payroll-related changes, including:
    • New starters
    • Leavers
    • Salary changes
    • Bonuses and commissions
    • Overtime payments
    • Pension contributions
    • Statutory payments
    • Deductions and benefits
  • Review payroll reports and undertake pre-payroll checks to ensure accuracy.
  • Ensure benefits are correctly implemented

Compliance & Governance

  • Ensure payroll activities comply with UK legislation, HMRC requirements and company policies.
  • Maintain accurate payroll records and audit trails.
  • Manage submissions relating to PAYE, National Insurance, pensions and other statutory obligations.
  • Support year-end payroll activities, including P60s and other statutory reporting requirements.

Employee Support

  • Act as the primary point of contact for payroll queries.
  • Provide timely and professional support to employees and managers regarding pay, deductions, pensions and payroll processes.
  • Resolve payroll issues efficiently and confidentially.

Finance & Reporting

  • Reconcile payroll reports with finance records.
  • Support monthly payroll journals and reporting requirements.
  • Produce payroll-related reports and analysis as required.
  • Assist with payroll audits and internal controls.

Systems & Process Improvement

  • Maintain payroll data integrity across HR and payroll systems.
  • Identify opportunities to improve payroll accuracy, efficiency and compliance.
  • Support payroll system updates, testing and process documentation.

Other Administration

  • Support the Fleet Management administration alongside the external supplier
  • Ownership of parking management for engineers
  • Supporting People & Communications team with onboarding and offboarding
  • Manage vetting processes for employees
  • Support in the administration for corporate phone supplier
  • General admin support of the P&C Business Partner

Knowledge, Skills & Experience

Essential

  • Proven payroll administration experience with end-to-end payroll accountability
  • Strong knowledge of UK payroll legislation and HMRC requirements
  • Experience managing payroll through an outsourced payroll provider
  • Knowledge of pension administration and benefits processing
  • Excellent attention to detail and accuracy
  • Strong Excel and payroll systems skills
  • Ability to manage confidential information with discretion
  • Strong organisational and time management skills
  • Excellent administration skills with personable nature

Desirable

  • CIPP qualification or equivalent payroll certification
  • Experience in a standalone payroll role
