Payroll, People Systems & Benefits Coordinator | 📍London, UK – Hybrid (1 day per week in the office) | 💰Competitive Salary + Benefits

About the Role

We’re looking for a proactive and organised Payroll, People Systems & Benefits Coordinator to join our People Operations team at Moonpig Group.

You’ll play an important role in creating a smooth employee experience, making sure our people data, payroll inputs, systems and benefits are managed accurately and efficiently throughout the employee lifecycle.

Working closely with the wider People team, Payroll Specialists, Finance and external providers, you’ll coordinate payroll-related employee data, support our People systems and manage employee benefits administration.

It’s a great opportunity for someone who enjoys combining People Operations with systems, data and continuous improvement, and wants to help make everyday processes simpler and more effective.

Key Responsibilities

  • Coordinate the monthly payroll administration cycle, making sure employee changes are accurately prepared and submitted to Payroll Specialists within agreed deadlines.
  • Prepare and validate payroll inputs, including new starters and leavers, salary changes, contractual amendments, bonuses and allowances, family leave, employee benefits and deductions.
  • Act as the main link between People Operations and Payroll Specialists, ensuring payroll information is accurate, complete and submitted on time.
  • Respond to employee payroll queries and work with Payroll Specialists to resolve issues where needed.
  • Reconcile payroll reports against HR system data, identifying and resolving discrepancies.
  • Look for opportunities to improve payroll administration processes and data quality.
  • Coordinate the day-to-day administration of our HRIS and other People Operations systems.
  • Maintain accurate employee records and high standards of data integrity across our People Operations systems.
  • Support system upgrades, testing, enhancements and new functionality.
  • Investigate and resolve People system queries, working with external vendors where needed.
  • Produce and maintain clear system guidance and process documentation.
  • Drive continuous improvement across our People systems, simplifying processes and improving the employee experience.
  • Ensure employee data integrates accurately across HR systems, payroll and associated platforms.
  • Coordinate employee benefits administration throughout the employee lifecycle.
  • Make sure benefits data is accurate across our People systems and communicated effectively for payroll processing.
  • Coordinate employee lifecycle administration from onboarding through to offboarding.
  • Produce contracts, contractual amendments and other employee documentation.
  • Support audits by maintaining accurate employee records and documentation.
  • Provide excellent day-to-day operational support to colleagues and managers across the business.
  • Produce regular People reports and dashboards.
  • Support ad hoc reporting requests across the business.
  • Support audit requirements through accurate reporting and record keeping.

About You

  • Experience in a People Operations, HR Operations or HR Coordination role.
  • Experience preparing and coordinating payroll inputs alongside an internal or outsourced payroll function.
  • Experience administering an HRIS or similar People system.
  • Strong understanding of employee lifecycle processes.
  • Excellent attention to detail and a commitment to data accuracy.
  • Strong analytical skills and confidence working with people data.
  • Intermediate Excel or Google Sheets skills.
  • Excellent organisation and prioritisation skills, with the ability to manage multiple deadlines.
  • Strong communication skills and the ability to build effective relationships across teams.
  • A proactive, customer-focused approach and an interest in continuous improvement.
  • Experience administering employee benefits would be helpful.
  • Experience supporting HR system implementations or enhancements would be an advantage.
  • Knowledge of GDPR and HR data governance would be beneficial.
  • Experience using reporting or dashboard tools would be useful.
  • Familiarity with outsourced payroll providers would be an advantage.

What Success Looks Like

In your first 6–12 months, you’ll:

  • Become a trusted coordinator for payroll administration, People systems and employee benefits.
  • Ensure payroll inputs are consistently accurate, complete and delivered within agreed deadlines.
  • Maintain high levels of data integrity across our People Operations systems.
  • Build strong relationships with Payroll Specialists, Finance, benefit providers and stakeholders across the business.
  • Help deliver an efficient and seamless employee experience throughout the employee lifecycle.
  • Improve People Operations processes through automation, simplification and smarter use of technology.
  • Help maximise the value of our People systems through continuous improvement and effective administration.
