Payroll Specialist / Payroll Manager - Europe and Africa

We are seeking a highly motivated Payroll Specialist / Payroll Manager - Europe and Africa to join us on a full-time basis. This role is integral to ensuring accurate, compliant, and timely payroll operations across multiple regions, including the United Kingdom, Germany, South Africa, Kenya, and Namibia.

As a key member of the HR function, the Payroll Specialist will manage end-to-end payroll processing, maintain and analyze confidential payroll data, and serve as a primary payroll resource for employees across the EMEA region. Working closely with the Payroll Manager, HR, Finance, Country Managers, HRIS teams, and external payroll providers, you will ensure payroll accuracy, compliance with country-specific regulations, and an excellent employee experience.

Responsibilities

Payroll Operations

  • Manage end-to-end monthly payroll processing across the UK, Germany, South Africa, Kenya, and Namibia.
  • Review and prepare multi-country payrolls for salaried and hourly employees in accordance with local legislation and company policies.
  • Support the Payroll Manager with broader global payroll operations and process improvements.
  • Ensure timely and accurate payroll execution, validations, reconciliations, and reporting activities.
  • Maintain payroll records, employee data, and payroll system integrity.

UK Payroll Compliance

  • Ensure compliance with HMRC regulations and UK payroll legislation.
  • Process PAYE, National Insurance Contributions (NIC), student loan deductions, and statutory payments.
  • Support year-end payroll activities including P60s, P11Ds, P45s, and payroll reconciliations.
  • Liaise with HMRC and external payroll providers as required.

EMEA Payroll & Compliance

  • Support payroll activities across Germany and African countries, ensuring compliance with country-specific payroll regulations.
  • Manage statutory deductions, social security contributions, pension schemes, and local tax requirements.
  • Partner with local vendors, payroll providers, tax authorities, and HR teams to ensure compliance and timely submissions.
  • Maintain awareness of legislative changes impacting payroll operations across the EMEA region.

Employee & Stakeholder Support

  • Serve as the primary point of contact for payroll-related employee inquiries.
  • Assist employees with questions related to pay, deductions, taxes, benefits, and timekeeping.
  • Partner with HR, Finance, and Country Managers to resolve payroll issues and ensure data accuracy.
  • Support payroll audits, finance reconciliations, and special projects as required.

Systems & Reporting

  • Maintain and audit payroll systems, employee records, and time and attendance data.
  • Perform payroll reporting, data analysis, and reconciliations.
  • Utilize Excel and payroll systems to identify discrepancies and support decision-making.

Requirements

  • 3 to 6 years of payroll experience within a multinational organization.
  • Proven experience processing payroll in the United Kingdom, with strong knowledge of UK payroll legislation and HMRC requirements.
  • Experience supporting payroll operations in Germany and South Africa.
  • Working knowledge of country-specific payroll tax, statutory, and employment regulations.
  • Experience coordinating with external payroll providers and vendors.
  • Advanced Microsoft Excel skills, including Pivot Tables, VLOOKUPs, and data analysis.
  • Strong attention to detail and ability to handle confidential information.
  • Ability to manage multiple payroll cycles and deadlines across different countries and time zones.
  • Bachelor's degree or equivalent qualification.
