Payroll Transformation Manager/ Subject Matter Expert / System Implementation/ CIPP/ Process Mapping/ Group Business/ Excellent Benefits and Culture

This is an excellent opportunity for an experienced Payroll Manager and Subject matter Expert to support a highly successful group business as they look to review their current payroll processes and systems.

You will take the lead on assessing the current ways of working and deciding upon a suitable system to streamline and improve their current payroll function.

You’ll partner with the SLT including; HR, Group Finance, and Head of Systems to map processes, review and advise upon suitable systems implementation options, and present and cost the project for further review.

Alongside supporting system and process improvements, you will be required to maintain knowledge of all group payrolls in addition to offer occasional support with running current payrolls.

Experience of using multiple payroll systems and running both in-house and outsourced payrolls is ideal.

This will initially be a 12-month contract but there is a high potential the role will extend inline with business needs.

Payroll Transformation Manager Responsibilities:

  • Strategically map the end-to-end monthly payroll process across all group entities.
  • Assess and review the current payroll system to establish credible market alternatives and suitable integration options.
  • Work closely with Group Finance to produce a defensible cost and effort baseline for the current operating model.
  • Appraise appropriate considerations for potential future operating models, to assess best fit for the needs of the business, as well as leading and advising upon the system requirements specification, market approach, and vendor evaluation, obtaining and comparing quotations accordingly.
  • Prepare and present findings, a costed business case, and a clear recommendation to HR and Group Finance leadership, supporting the decision through to approval.
  • Assess opportunities for consolidation of PAYE schemes, pension providers, and HR system instances, and the constraints applying to each.
  • Review the payroll control environment and design more preventative processes, including the development of variance and exception reporting and in-system approvals.
  • Review system access, credential management, and segregation of duties across the payroll, pension, and banking platforms, implementing necessary improvements as required.
  • Review and define data retention and GDPR practice for payroll records, including leaver data.
  • Work alongside and support the Payroll Specialist, acting as an additional reviewer on the monthly payroll process to strengthen the approval process.
  • Maintain sufficient working knowledge of all Group payrolls to process them independently as required (Holiday and sickness cover).
  • To ensure statutory compliance is maintained across PAYE, NIC, RTI, pensions auto-enrolment, statutory payments, and benefits, advising on any policy or procedural change requirements.
  • Produce and maintain a robust complete payroll process documentation process.

Payroll Transformation Manager Required Experience:

  • Demonstrable experience of payroll process improvement or transformation with proven results in streamlining and improving efficiencies.
  • Previous experience of leading a payroll system selection and/or implementation.
  • A payroll subject matter expert with a proven track record of managing and leading multiple payrolls in a multi-entity, multi-PAYE environment.
  • Previous experience of running both salaried and hourly paid payrolls is highly advantageous.
  • Full working knowledge of statutory requirements affecting PAYE, NIC, RTI, pensions auto-enrolment, statutory payments, and benefits.
  • Experience of using Sage payroll is highly advantageous.
  • CIPP Qualifications.
  • The ability to build and present a business case, and to hold a position credibly with senior finance stakeholders.
  • Advanced working knowledge of Excel including data manipulation, pivot tables, and lookups.
  • Excellent time management skills with the ability to deliver against strict, agreed milestones.
  • Strong attention to detail with the ability to work under pressure, prioritising, and managing a varied workload.
  • Excellent communication skills, able to build and maintain effective working relationships with senior stakeholders.
  • The ability to drive system changes and roll out processes accordingly.
  • Experience gained in both in-house, and outsourced payroll models is highly advantageous as is exposure to the coordination of overseas payrolls.
