Job Description
Location: Forth Ports Ltd, Carron House, Dock Road
Job Title: Pensions & Insurance Administrator
Location: Port of Grangemouth
Hours: 22.5hrs per week, worked across five days. The final working pattern will be agreed with the successful candidate to meet business and operational requirements.
Compensation: £17,357 (£27,000 FTE)

About The Role
Reporting to the Head of Risk & Pensions, the Pensions & Insurance Administrator plays an important role in supporting the effective administration of the Group's pension schemes and insurance arrangements. The role is responsible for delivering a professional, accurate, and confidential service to employees, pension scheme members, and external stakeholders, ensuring that day-to-day activities are completed efficiently and in line with regulatory requirements.
Working closely with internal departments and external providers, the successful candidate will support member communications, maintain accurate records, coordinate insurance administration activities, and contribute to ongoing process improvements and departmental projects.
Key Responsibilities
- Provide ongoing and effective administration of the Forth Ports DC Plan, ensuring all processes are completed accurately and within required timeframes
- Respond to pension scheme member queries in a professional and confidential manner, providing clear information and signposting to the appropriate provider or adviser where required
- Act as the primary point of contact with third-party DB administrators, to ensure accurate and timely information flow for members of the Forth Ports Group Pension Scheme
- Maintain accurate pensions and insurance records, ensuring data is kept up to date, securely stored, and handled in line with data protection requirements
- Handle day-to-day insurance matters, including regular vehicle updates, audits, and Employer’s Liability claims as they arise
- Support ad hoc projects, such as Group Life renewals and annual data uploads, as well as contributing to process improvements within the department
- Maintain and update procedure notes, process documents, and standard communications to support consistent pensions and insurance administration

What We're Looking For
We're looking for an organised and detail-oriented administrator with experience in pensions, insurance, or a similar regulated environment. You'll be comfortable managing a varied workload, handling confidential information with discretion, and building positive relationships with colleagues, scheme members, and external providers.
This is a part-time opportunity and would suit someone looking for flexibility while remaining actively involved in a professional and rewarding role. We're looking for someone who can work their hours across the week to provide consistent support to the department and its stakeholders.
Skills & Qualifications
- Demonstrated pensions and insurance administration experience, ideally with a relevant recognised professional qualification
- Excellent numeracy and IT skills, including proficient Excel skills and a good working knowledge of Microsoft Office
- Ability to manage multiple priorities and workloads effectively, both independently and as part of a team, ensuring deadlines are consistently met
- High level of accuracy in record keeping, data entry, and compliance with regulatory requirements
- Excellent interpersonal and communication skills, with the ability to engage with colleagues, trustees, external providers, and scheme members
- Full Driving Licence, valid in the UK
- Full UK Working Rights
