About the role
We are looking for an organised, proactive and people-focused People Team Administrator to join our People team here at Sense. This is a permanent role, working on a hybrid basis from our office in Selly Oak 2-3 days per week.
This is a varied role where you will provide administrative support across HR and learning & development, helping to deliver a great experience for our employees and managers.
It’s a brilliant opportunity for someone with experience in a busy administrative environment who enjoys variety, takes pride in getting the details right and would like to continue developing their career within HR and People.
Key Responsibilities
- Provide a friendly, professional and responsive service to employees, managers and candidates.
- Manage queries received through our People team inboxes and phone lines, resolving routine enquiries and escalating where appropriate.
- Support recruitment and onboarding, including preparing offers and contracts and completing DBS, reference, qualification and other pre-employment checks.
- Provide administrative support throughout the employee lifecycle, including starters, leavers and employee changes.
- Maintain accurate employee records and ensure information is handled securely and in line with GDPR.
- Provide first-line information and support to managers and employees on routine HR matters, including maternity, sickness and right-to-work queries.
- Support payroll administration, ensuring employee changes are processed accurately and on time.
- Coordinate learning and development activity, including booking and cancelling training, preparing materials, processing invoices and supporting colleagues to access training.
- Administer our People and learning systems, maintaining accurate information and completing workflows within agreed timescales.
- Produce and work with reports and data to support the wider People team.
- Help ensure our People processes are accessible and inclusive, including arranging additional support where required.
- Work collaboratively with colleagues across the wider People team to provide a consistent and high-quality service.

About you
We are looking for someone with:
- Experience working within a busy, fast-paced administrative team, ideally within HR, recruitment or learning and development.
- Experience supporting or administering recruitment processes.
- Experience handling a high volume of queries by telephone and email.
- Strong organisational skills with the ability to manage and prioritise a varied workload.
- Excellent written and verbal communication skills and a calm, professional approach.
- Good IT skills, including Microsoft Office, with experience using Excel including VLOOKUPs and pivot tables.
- Experience using HR, recruitment, learning or another complex information management system.
- Experience working with and manipulating reports and data.
- Experience supporting learning and development administration.
- Strong attention to detail and a commitment to producing accurate, high-quality work.
- An understanding of GDPR and the importance of maintaining confidentiality.
- Excellent customer service skills and the ability to build positive working relationships.
- An understanding of equality, diversity and inclusion and a commitment to making processes accessible for everyone.
Knowledge of safer recruitment processes when working with children and vulnerable adults would also be valuable.
