The Opportunity

We are looking for a People Administrator to join our Nuclear & Defence People Team based at Hinkley Point C on permanent full time contract.

We are seeking a highly organised and detail-oriented Administrator to join our team. The ideal candidate will be responsible for providing administrative support, ensuring smooth operations within the team. This role requires excellent communication skills, proficiency in various software applications, and the ability to manage, coordinate and maintain day-to-day administrative tasks within the office environment. Support the People & Development Team & Business Unit in processing both employee, contract, and external information in a timely and efficient manner. Work with and maintain computerised systems.

This role is based at our Hinkley Point C site on the outskirts of Bridgwater, where you will be part of the People & Development Team assisting in the efficient and accurate delivery of the day-to-day administration and coordination of the Department in a fast-paced role within a growing Operations team on site.

How you will make an impact

  • Own the absence management process, including monitoring the absence line, recording employee absences, and complete data analysis to identify & then flag trigger points to the People Advisor where appropriate.
  • Work closely with onsite Payroll Team and Supervision for time & attendance to manage records by updating the QuickBase system daily with planned and unplanned absences, and maintaining accurate records for starters, leavers, and amendments.
  • Support the onboarding process by processing starters on the HR and time & attendance systems whilst working closely with Onboarding Coordinator.
  • Process leavers in line with established process and report attrition trends to the People Team & Operations Team.
  • Support the onboarding and security vetting process by chasing candidates for required information and processing documentation in line with site requirements, working alongside the Onboarding Coordinator as needed in a recruitment drive.
  • Administer HR documentation, including new starter packs and contracts of employment, ensuring all personal records, right to work documentation, are stored within E-files.
  • Work collaboratively with the Training Department to coordinate training activities, including completing booking forms, maintaining the training matrix, identifying upcoming expiries, and supporting the Training Coordinator with scheduling. File all training certificates accurately.
  • Attend meetings as required such as disciplinary & grievance, take accurate minutes, and distribute them to relevant individual in a timely manner.
  • Maintain employee files, ensuring all contractual and People related documentation is organised and filed efficiently.
  • Collaborate with the Operations team to provide accurate and timely information and reporting on items such as return to work and appraisal documentation. Support the preparation and maintenance of the HR dashboard, ensuring key people metrics and insights are clearly captured and reported.
  • Manage the central HR inbox, responding to employee queries promptly and accurately, and escalating or directing matters to the appropriate member of the People team.
  • Support the preparation of documentation for employee relations meetings, including informal discussions and formal disciplinary and grievance meetings.

The successful candidate will need to undergo a BPSS Security Clearance, where a DBS check will be required in order to gain access to the site.
