As part of our growth, we are seeking a dedicated People and Apprentice Administrator to support our Employment and Development Manager with all aspects of HR, training, and apprenticeship delivery. This role is ideal for someone passionate about people, skills development, and workforce planning.

Position Overview:

The People and Apprentice Administrator will provide day-to-day administrative support to the Employment and Development Manager and Apprentice Manager, helping to ensure employee processes, apprenticeship administration, and training activities run smoothly and professionally.

This is an administration-focused role suited to someone who is organised, accurate, and confident supporting a wide range of people-related activities. The role will support office-based apprentices, employees, managers, and external partners, with a strong focus on maintaining records, arranging meetings, coordinating information, and keeping processes on track.

Key Responsibilities

HR Administration and Support

  • Support the Employment and Development Manager with day-to-day HR administration.
  • Prepare and maintain employment documentation, including offer letters, contracts, and starter information.
  • Support new starter administration, onboarding, and induction arrangements.
  • Maintain accurate employee records, personnel files, trackers, and HR databases.
  • Assist with probation review administration, appraisal records, and employee lifecycle processes.
  • Support recruitment administration, including interview arrangements, candidate communication, and internal tracking.
  • Assist with absence recording, reporting, and general people administration.
  • Support employee communications, wellbeing activity, and employment and development initiatives.
  • Handle confidential employee information professionally and in line with GDPR requirements.

Apprentice Administration and Support

  • Support the Apprentice Manager with the administration of office-based apprentices across Bristol and London.
  • Assist with apprentice onboarding, induction arrangements, and starter documentation.
  • Arrange apprentice review meetings, check-ins, and associated administration.
  • Maintain apprentice records, progress trackers, training information, and compliance documentation.
  • Liaise with colleges, training providers, and apprenticeship partners as required.
  • Monitor and update records relating to apprentice attendance, reviews, and key milestones.
  • Support apprentice recruitment administration, including interview scheduling and candidate communication.
  • Assist with apprentice engagement activity, careers events, and work experience administration.
  • Act as an administrative point of contact for apprentice queries, escalating where appropriate.

Training Administration

  • Support the organisation of internal training sessions and workshops.
  • Book training sessions, issue joining instructions, and maintain attendance records.
  • Maintain training records, training trackers, and the company training matrix.
  • Support the administration of mandatory training requirements and completion records.
  • Liaise with internal teams and external training providers to coordinate training activity.
  • Produce simple training reports and updates when required.

General Administration

  • Schedule meetings, prepare agendas, take notes, and maintain action trackers where required.
  • Maintain departmental trackers, filing systems, records, and reporting information.
  • Support data collection for audits, accreditations, compliance, and business reporting.
  • Manage routine correspondence and respond to internal and external enquiries.
  • Provide wider administrative support to the Employment and Development Manager and Apprentice Manager as required.

Skills and Experience

Essential:

  • Previous experience in an administration role.
  • Strong organisational skills and excellent attention to detail.
  • Good written and verbal communication skills.
  • Confident user of Microsoft Office, including Word, Excel, and Outlook.
  • Ability to manage multiple tasks and prioritise workload effectively.
  • Professional and confidential approach to handling employee and apprentice information.
  • Friendly, approachable, and able to build positive working relationships.

Desirable:

  • Experience in HR, recruitment, training administration, or apprenticeship administration.
  • Experience in maintaining records, trackers, and databases.
  • Understanding employment administration or apprenticeship processes.
  • Experience within construction, engineering, or a professional services environment.
