People Assistant

Location: London, UK (Hybrid)
Contract: Fixed-term – 12 months
Hours: 22.5 hours per week
Salary: £29,512 gross per annum FTE / £17,707 gross per annum
Grade: C
Reporting to: Head of People (with oversight from the People Coordinator)

We are now seeking a People Assistant to provide high-quality administrative, systems and coordination support across our People function.

About the role

The People Assistant will play a key role in maintaining accurate HR data, systems and records, supporting smooth and consistent employee lifecycle processes, and acting as a first point of contact for routine People queries. Working closely with the People Coordinator, you will support recruitment, onboarding, induction, contract changes, payroll updates, staff communications and wider People Team priorities. This is a varied role that suits someone organised, proactive and committed to strengthening employee experience across a global organisation.

Key responsibilities

People systems, data and records

  • Lead day-to-day administration of People systems (including Cascade), ensuring accurate and timely updates.
  • Maintain HR trackers, staff files, recruitment records, onboarding checklists, leave records and contract change documentation.
  • Support preparation of routine people data, monthly updates and reports.
  • Monitor data quality and follow up on missing information.
  • Provide first-line support on HR systems queries.
  • Contribute to process improvements that strengthen accuracy, efficiency and compliance.

Support to the People Coordinator and employee lifecycle

  • Provide coordination support across recruitment, onboarding, induction, probation, contract changes, leave processes and exits.
  • Prepare adverts, schedule interviews, communicate with candidates and support reference checks.
  • Draft HR letters, templates and documents for review.
  • Support induction arrangements, systems access and onboarding documentation.
  • Track probation, contract end dates, leave and exit actions.
  • Assist with staff engagement, wellbeing and employee experience administration.

Processes, policies and internal platforms

  • Support maintenance of People processes, templates and guidance.
  • Keep People content on SharePoint and internal platforms accurate and up to date.
  • Assist with policy updates and document management.
  • Support audit recommendations, compliance checks and process improvement actions.
  • Provide content for routine People communications and updates.

Payroll, compliance and administration

  • Support accurate and timely payroll changes in collaboration with Finance.
  • Assist with preparation and checking of employee change information and final pay inputs.
  • Maintain confidentiality and ensure compliance with data protection and employment requirements.
  • Track routine HR deadlines, training records and contract administration.

Team coordination and wider support

  • Provide flexible administrative support to the People Team.
  • Build effective working relationships across global teams.
  • Support meetings, workshops and training sessions.
  • Contribute to People projects and organisational priorities.

About you

You will bring:

  • At least 2 years’ experience in HR, People administration or coordination.
  • Strong systems and data management skills with excellent attention to detail.
  • Experience supporting recruitment, onboarding and employee lifecycle processes.
  • Good understanding of HR administration, confidentiality and data protection.
  • Strong organisational, communication and coordination skills.
  • A proactive, solution-focused approach and willingness to improve processes.
  • Ability to work collaboratively across teams and cultures.
  • Commitment to Saferworld’s values, safeguarding principles and inclusive working culture.
