Our Head Office is based in Stockton-on-Tees and is home to our administrative support teams, engineering & maintenance support team & energy services teams. The Offices are located on the river Tees with close access to walks, shops and restaurants.

The Opportunity

We are now recruiting for a People Coordinator.

The primary purpose of the role is to lead and manage the delivery of a high-quality People Team administration service across the business. The People Coordinator is responsible for owning, overseeing and quality-checking all day-to-day People administration activity, ensuring processes are controlled, completed accurately and delivered within agreed timescales. Working closely with the wider People Team, the role ensures that administration processes are effective, compliant, consistently applied and continuously improved to support both departmental and business objectives

You’ll be supported with personalised on the job training, coaching, mentoring and twice-yearly development and performance reviews to help maintain & develop your contributions and competence.

Key Responsibilities:

  • Own and manage the full delivery of People Team administration processes across the business and throughout the employee lifecycle, ensuring activity is completed accurately, consistently and within required timescales.
  • Plan, prioritise and allocate administration workload across the team to ensure business deadlines are met, service levels are maintained and workload pressures are identified and managed effectively.
  • Oversee and check the quality of administration outputs produced by the team, identifying errors, gaps or delays and taking action to resolve them or escalate as appropriate.
  • Own and coordinate the onboarding process for new employees, ensuring that everything is in place for day one and that all probation requirements are tracked, completed and ready for sign off.
  • Monitor and manage the HR Support inbox, ensuring queries are responded to in a timely manner, allocated where required and escalated appropriately.
  • As appropriate, support the People Advisors with formal meetings, creating associated documentation and minutes.
  • Own and manage the coordination of all medicals across the business, ensuring records are accurately maintained and monthly reporting highlights outstanding or missed medicals for escalation.
  • Manage the administration of absence processes across the business, including monitoring the absence inbox, updating systems, completing monthly absence reports and highlighting patterns, trends or triggers to People Advisors and line managers as appropriate.
  • Support the People Advisors to deliver the company annual performance review process, ensuring that the system is maintained and updated.
  • Maintain ownership of key People administration processes, ensuring they are clearly documented, regularly reviewed and continuously improved.
  • Own and coordinate the invoice reconciliation process, ensuring invoices are checked, processed accurately and any issues are followed up in a timely manner.
  • Coordinate work experience across the business, ensuring risk assessments are in place and all associated documentation.
  • Support the People Advisors to manage apprenticeships across the business.
  • Produce monthly reporting and complete regular checks to confirm that People Team administration processes have been completed correctly, accurately reflected in relevant systems and communicated to stakeholders as required, including new starters, movers and leavers.
  • Work closely with the Talent, Payroll and Benefits teams to ensure administration activity is joined up, deadlines are met and the best overall service is delivered to the business.

Minimum Requirements:

  • Have a good standard of general education, including GCSE English and Maths or equivalent.
  • Hold a Level 3 or above certificate in either CIPD or Business Administration.
  • Have a strong, demonstrable administration background.
  • Experienced in managing and driving constant improvements within a busy administration service.
  • Have experience working in a busy People/HR Department, supporting in a 24/7 high hazard/multi-site business.
  • Have experience of managing a team and coordinating/checking workload.
  • Have a strong working knowledge of Microsoft Office, particularly Excel, Word, Powerpoint and Outlook.
  • Experienced in using HR systems, time and attendance systems or other people-data systems.
  • Be able to prioritise own workload and manage multiple projects/tasks at once.
  • Be confident in communicating with others at all levels of the business, in person, on Teams video calls, by email and phone.
