Job Description
Role Purpose
The People Services Coordinator provides accurate, timely, and customer-focused administrative support across the colleague lifecycle.
The role is responsible for delivering day-to-day People Services activities, maintaining data accuracy, and supporting smooth team operations. The postholder acts as a first point of contact for queries, resolving routine matters and escalating more complex issues to the Team Lead as appropriate.
Key Responsibilities
People Services Administration
- Deliver HR administrative activities across the colleague lifecycle, including onboarding, contractual changes, leavers, and absence management.
- Prepare and issue employment contracts, letters, and associated documentation.
- Maintain accurate and up-to-date employee records within HR systems (e.g., HRIS, ATS, payroll).
- Support the coordination of induction and onboarding activities.
Customer Service & First-Line Support
- Act as a first point of contact for People Services queries, providing clear and helpful guidance.
- Respond to enquiries via phone, email, or ticketing systems within agreed timelines.
- Escalate more complex, sensitive, or specialist queries to the Team Lead where required.
- Deliver a professional and consistent service to colleagues and managers.

HR Data & Reporting
- Input, update, and validate HR data, ensuring accuracy and confidentiality at all times.
- Support routine reporting (e.g., headcount, absence, turnover) as required.
- Assist with audits, data checks, and information requests.
Process Support & Compliance
- Follow established procedures across onboarding, offboarding, payroll inputs, and employee changes.
- Support required compliance activities (e.g., right-to-work checks, references, DBS where applicable).
- Ensure all activities are completed in line with organisational policies and data protection requirements.
Collaboration & Team Support
- Work collaboratively with team members to manage workload and meet deadlines.
- Liaise with Payroll, Recruitment, and other People teams to support smooth processes.
- Escalate risks, issues, or delays to the Team Lead in a timely manner.
Continuous Improvement
- Contribute ideas to improve team processes and service delivery.
- Support updates to team documentation, guidance, and process materials.
- Participate in team initiatives and improvement activities as required.
Skills & Experience
Essential
- Experience in an HR administration or similar support role.
- Strong organisational skills with attention to detail and accuracy.
- Ability to manage multiple tasks and meet deadlines.
- Experience using HR systems and Microsoft Office tools.
- Good communication and customer service skills.

Desirable
- Experience in a shared services or fast-paced administrative environment.
- Basic knowledge of HR processes or UK employment practices.
- Familiarity with ticketing systems.
- CIPD Level 3 (or working towards).
