Job Summary

Office: 5 days per week onsite (Monday - Friday 37.5 hours per week)

Join our People & OD team as a People Coordinator and play a key role in delivering an excellent employee and candidate experience. This varied role combines HR administration, recruitment coordination, employee engagement and people systems support.

You will coordinate recruitment and onboarding activities, maintain accurate HR records, prepare HR documentation, support employee lifecycle processes and provide first-line advice on HR queries. You will also produce reports, support compliance activities and help improve HR processes and systems.

We are looking for an organised, proactive and people-focused individual with HR administration and recruitment experience, excellent communication skills and strong attention to detail.

Main duties of the job

As a People Coordinator, you will provide comprehensive HR and recruitment support across the employee lifecycle. You will coordinate end-to-end recruitment campaigns, including advertising vacancies, scheduling interviews, managing candidate communications, completing pre-employment checks and supporting onboarding activities. You will maintain accurate HR records and systems, prepare contracts and HR documentation, and support key people processes such as probation reviews, appraisals and training records. The role also involves acting as a first point of contact for HR queries, supporting employee engagement initiatives, producing workforce reports, ensuring compliance with employment and regulatory requirements, and identifying opportunities to improve HR and recruitment processes.

Job responsibilities

To provide high-quality administrative and coordination support across the HR and recruitment processes, enabling the People & OD team to deliver a seamless and people-focused service. This role is pivotal in ensuring operational excellence and a positive employee experience.

Main Responsibilities

HR Administration

The People Coordinator will be responsible for maintaining accurate employee records and ensuring HR systems are kept up to date throughout the employee lifecycle, including onboarding, contractual changes.

The role also involves preparing a range of HR documentation, including contracts, letters, and reports, requiring a basic understanding of employment law and contractual terms and conditions of employment.

In addition, the postholder will assist with the review and communication of HR policies and internal updates to ensure consistency, compliance, and adherence to current employment legislation.

Recruitment

All recruitment activities should be carried out in line with Care Quality Commission (CQC) and NHS employment standards, ensuring compliance, fairness, and transparency throughout the process.

The People Coordinator will play a key role in leading recruitment activities across the organisation, managing the end-to-end recruitment process, and acting as the first point of contact for hiring managers.

The postholder will work independently within established procedures, escalating complex queries or issues to the People Partner as required. Recruitment activities across the organisation include end-to-end recruitment campaigns, drafting and posting job adverts, scheduling interviews, managing candidate communications to ensure a professional and timely experience.

Working closely with hiring managers to help facilitate a smooth recruitment process and provide guidance on timelines and documentation.

The role includes conducting and obtaining pre-employment checks and onboarding activities, ensuring new starters have a positive and well-organised introduction to the organisation.

The coordinator will maintain accurate recruitment data and metrics from HRIS, contributing to regular reporting and continuous improvement efforts.

The coordinator is expected to proactively identify and implement efficiencies in recruitment and HR administration processes. They should consistently apply best practice approaches, seek opportunities to streamline workflows, and contribute to the development of a high-performing, responsive People & OD function.

The People Coordinator will represent the organisation at external recruitment events, including careers fairs, networking events, and community engagement activities. They will be responsible for promoting employment opportunities, engaging with prospective candidates, and supporting the organisation's employer brand.

Over time, the coordinator will also be expected to support innovation, helping to digitalise and optimise processes in line with the organisations HRIS, for example, applicant tracking systems (ATS), ensuring technology is used effectively to enhance the candidate and hiring manager experience.

Employee Engagement

The People Coordinator will act as a first point of contact for general HR queries, providing timely and professional support to employees and managers.

They will support the People & OD Partners and contribute to employee engagement and wellbeing initiatives, helping to foster a positive and inclusive workplace culture.

Additionally, the coordinator will assist in organising induction programmes and internal events, ensuring new starters and existing staff feel welcomed, informed, and connected to the organisation.

Systems & Reporting

The People Coordinator will ensure that HRIS and recruitment platforms are consistently updated and maintained to reflect accurate and timely information.

They will be responsible for generating reports and dashboards to support the People & OD Partners with workforce insights and decision-making. In addition, the role includes supporting data audits and compliance checks to uphold data integrity and meet regulatory requirements.

The coordinator will also contribute to monitoring key performance indicators (KPIs), ensuring quality assurance across HR processes, and maintaining compliance with internal policies and external standards.
