People Coordinator

We're looking for a proactive and organised People Coordinator to join our friendly People team on a fixed term basis.

In this varied role, you'll support the day-to-day running of the People function, assist with key projects and initiatives and provide a responsive, people-focused service to employees and managers.

Working closely with the Recruitment Advisor and People Advisor, you'll help ensure the smooth delivery of people processes across the employee lifecycle while making a real impact on our employees' experience.

The role is based at our Support Hub Office in between Hurstpierpoint and Burgess Hill.

Hours, Salary & Contract Length:

  • Between 25-32 hours per week (4 or 5 days)
  • £30,000 per annum (FTE) (salary will differ with different hours)
  • Fixed Term role until December 2027

Kiddie Capers Childcare are a growing Nurseries & Preschool company operating multiple nurseries in the Sussex area. We are owned and operated by two local families. Key Skills and Experience:

Responsibilities:

  • Manage the onboarding process, creation of Bob profile, updating the master rota, updating master pay and the allocation of policies.
  • Management of onboarding planners.
  • Process any approved change to terms requests including issuing letters, updating systems, master rota and communicating changes to the relevant people.
  • Coordinate the leavers process, issuing resignation acceptance, updating systems/payroll and sending leavers questionnaire to collate feedback.
  • Manage the administration of flexible working requests, updating the tracker and issuing meeting invites and responses.
  • Assisting with Flexible Working Meetings where required.
  • Produce correspondence relating to formal meetings, such as Absence review meetings, grievances and disciplinaries.
  • Attend formal meetings where required to take notes.
  • Collate payroll information on a monthly basis, ensuring all changes are captured and the information provided is accurate and detailed.
  • Manage maternity and paternity leave administration; providing employees with relevant policies/information, issuing letters and ensuring updates go to payroll at the appropriate time. Keep in touch with employees (where agreed) and organise KIT days when requested.
  • Managing the probationary timeline and associated documentation.
  • Stock and order management of company uniforms.
  • Build and improve our bank of letter and form templates.
  • Be a super user of the HRIS (currently Hi-Bob), keeping the data current and maximising the use of functions available. Provide training to managers where required.
  • Management of annual leave in Hi-Bob.
  • Manage the People Team folders, ensuring files are saved and stored in a methodical way, as well as completion of regular audits to comply with GDPR regulations on holding and storing of personal data.
  • Carry out project work/ad-hoc tasks as required by the People Manager or SLT.
  • Management of administration of Apprenticeships, including funding applications, completing necessary documentation, processing pay increases relating to competency.
  • Creating adhoc reports as required.
  • Supporting the onboarding process for The Support Hub roles.
  • Provide support to the People Advisor and Recruitment advisor as required.
  • Provide cover to sites if required to cover staff sickness and/or holiday.
