People & Operations Coordinator
Hybrid | West London | Full-time | Reporting to the Founders of this fast-growing Beauty Brand
We're looking for an organised, proactive and people-focused People & Operations Coordinator to help keep a fast-growing, founder-led, beauty business running brilliantly behind the scenes.
As the team grows, our client wants to make sure the way they operate work grows with them. This role sits at the heart of the business, supporting the team, keeping our people processes organised and helping our founders and wider business operate smoothly.
It's a varied role for someone who loves making things happen, enjoys bringing order to a busy environment and naturally spots ways things could work better. One day you might be onboarding a new team member, the next organising a company event, improving an internal process or helping the founders coordinate an important project. You'll manage day-to-day people operations, working alongside an external HR partner who supports us with specialist HR and employment matters.
What you'll be doing
People & culture
- Coordinate the employee journey from onboarding and inductions through to reviews, role changes and offboarding
- Keep employee records, contracts, policies and HR documentation accurate and up to date
- Be an approachable first point of contact for day-to-day people questions, escalating to our external HR partner where specialist support is needed
- Support payroll administration, benefits, leave, expenses and other people processes
- Help create a positive, engaging employee experience and a brilliant place to work

Business & operations
- Help keep HQ and day-to-day business operations running smoothly
- Own and maintain our internal, digital workspace, ensuring company information, processes, policies and key resources are organised, accurate and up to date
- Manage company equipment, systems and other operational administration
- Coordinate suppliers, office requirements, expenses and internal logistics
- Look for opportunities to improve processes and make life easier for the wider team
Founder & business support
- Provide day-to-day organisational and administrative support to the founders
- Help manage calendars, meetings, travel and changing business priorities
- Support with presentations, reports, meetings and internal communications
- Keep track of actions and help make sure important projects and priorities keep moving
- Get involved in wider business projects and initiatives as needed
Team events & experience
- Organise team socials, company meet-ups and off-site events
- Coordinate travel and logistics for company gatherings
- Support employee engagement and wellbeing initiatives
- Help gather feedback from the team and turn great ideas into improvements

What we're looking for
- Experience in People Operations, HR coordination, office management, executive support or a similar operational role, ideally within a growing SME or fast-paced business
- Exceptionally organised, with great attention to detail and the ability to juggle multiple priorities
- Proactive, naturally thinking ahead rather than waiting to be asked
- A love of improving processes and finding simpler, smarter ways of doing things
- Warm, approachable and confident building relationships across a team
- Excellent written and verbal communication skills
- Comfortable handling confidential and sensitive information with discretion
- Confident using digital tools and systems — experience with Notion, HR systems and Google Workspace is a bonus
- Adaptable and happy to roll your sleeves up and help wherever needed
