Role Overview
The People & Operations Coordinator provides operational and administrative support across Human Resources, office operations and general business administration, helping to ensure the efficient day-to-day running of Anaergia UK. Working closely with the General Manager, department managers, internal HR leadership, and external HR advisors, the role coordinates key people processes throughout the employee lifecycle, supports compliance activities, manages office administration and contributes to delivering a positive employee experience. The position is primarily focused on coordination, administration and process improvement.
Key Responsibilities
People (HR)
- Coordinate and administer employee lifecycle activities, working with managers and external HR advisors where appropriate:
- Coordinate recruitment activities including advertising vacancies, arranging interviews and candidate communication.
- Prepare employment contracts, offer letters and onboarding documentation.
- Manage new starter and induction processes.
- Maintain accurate employee records and HR documentation.
- Coordinate probation reviews and annual appraisal schedules.
- Maintain training records and organise employee development activities.
- Support payroll preparation by collating monthly payroll information.
- Administer holiday, sickness and absence records.
- Coordinate employee benefit administration.
- Ensure Right to Work documentation remains current.
- Assist with employee wellbeing initiatives.
- Support disciplinary, grievance and capability processes through accurate documentation.
- Coordinate offboarding activities including exit interviews and return of company property.

HR Compliance
- Support compliance with UK employment legislation by maintaining accurate documentation and working with external HR advisors.
- Maintain GDPR compliance for employee records.
- Coordinate updates to HR policies and procedures under the guidance of management, internal HR management, and external HR advisors.
- Monitor mandatory training requirements.
- Maintain personnel files.
- Assist with internal and external audits.
- Prepare routine HR reports and workforce data as required.
Business Operations
- Provide operational support by:
- Coordinating company administration.
- Managing office facilities and suppliers.
- Maintaining office equipment and IT asset registers.
- Ordering office supplies, PPE and clothing.
- Coordinating company vehicles where required.
- Managing company mobile phones and equipment.
- Supporting travel and accommodation bookings.
- Assisting with company events and meetings.
- Supporting document control and filing systems (SharePoint).
- Helping improve business processes and administrative efficiency.
Executive Support
- Provide administrative support to the General Manager and Leadership Team as required, including:
- Diary coordination
- Meeting organisation
- Preparing presentations and documents
- Assisting with internal communications
- Coordinating travel arrangements where required

- Providing administrative support for H&S audits, inspections and compliance activities:
- Maintaining training records.
- Supporting H&S administration.
- Maintaining compliance documentation.
- Supporting audits and inspections.
Culture & Employee Engagement
- Support initiatives that reinforce Anaergia's values and employee engagement.
- Organise employee events.
- Coordinate wellbeing initiatives.
- Support internal communications.
- Assist with employee recognition programmes.
- Promote Anaergia's company values.
- Help create a positive workplace culture.
Skills & Experience Required
- Demonstrable experience in administration, including HR and payroll processes.
- Excellent organisational and time management skills, with the ability to prioritise multiple tasks and meet deadlines.
- Strong written and verbal communication skills, alongside a professional and proactive work ethic.
- High level of confidentiality and integrity, ensuring sensitive information is handled appropriately.
- Advanced proficiency with Microsoft Office, particularly Excel.
- Experience within engineering, manufacturing, renewable energy or industrial sectors is advantageous.
- Working knowledge of UK employment legislation would be advantageous.
- Key competencies include professionalism, initiative, teamwork, customer focus, problem solving and adaptability.
