About the Role

This is a hands-on HR administration role supporting the day-to-day operations of the people function across our UK, US, and MENA entities. You will play a key role in keeping HR processes, systems, and documentation running smoothly. The role covers the full breadth of HR admin, from employee lifecycle management and HRIS maintenance/optimization through to employee engagement, policies, and compliance.

Requirements

  • Previous experience in an HR administration role in a fast-paced environment
  • HiBob familiarity is advantageous
  • Strong organisational skills with high attention to detail, particularly around data and documentation
  • Confident written and verbal communication skills
  • Comfortable working across Google Workspace and Microsoft Office
  • A basic understanding of UK employment law
  • Discreet, reliable, and comfortable handling confidential information
  • A team player who can work independently in a fast-moving environment
  • Ability to take ownership of all tasks, and keep a continuous improvement mindset

HR Operations & Administration (Core Remit)

  • Maintain accurate employee records across all entities and keep HiBob (HRIS) up to date
  • Manage employee lifecycle documentation including contracts, changes to terms, probation letters, and leaver paperwork
  • Track and schedule probation reviews, appraisals, and one-to-ones, ensuring deadlines are met
  • Provide administrative support for performance review cycles and feedback processes
  • Manage leave, holiday, and absence queries as the first point of contact
  • Coordinate exit administration, interviews, and HR-related offboarding documentation
  • Respond to routine HR queries, escalating more complex matters to the HR & People Lead
  • Monitor compliance tasks including right-to-work checks and policy acknowledgements
  • Support the HR & People Lead with reporting, audit requests, and ad hoc data pulls
  • Handle confidential employee information with discretion at all times
  • Assist with HRIS enhancements and automations
  • Any other tasks as required

Onboarding/Learning & Development

  • Coordinate onboarding schedules and communications for new starters across all entities
  • Deliver first-day inductions and ensure a smooth onboarding experience
  • Ensure robust tracking and reporting measures are in place for onboarding activities
  • Coordinate any training needs using allocated budget and ensure reporting measures are in place
  • Support HR & People Lead with manager and employee training sessions

Multi-Entity Support

  • Support HR administration across UK, US (PEO structure), and MENA entities
  • Ensure documentation and processes reflect the requirements of each jurisdiction. Support with updating and drafting HR policies and processes
  • Assist with freelance support requests and contractor onboarding in collaboration with the HR & People Lead
  • Coordinate employee engagement activities across all regions, ensuring consistency and collaboration is experienced amongst all offices

General Support

  • Support the Office Manager with internal events, socials, and meeting logistics as needed
