Position Summary
We're looking for a highly organised, detail-focused People Ops Administrator to join our People Operations team. This is a hands-on role at the heart of the employee lifecycle — you'll support everything from contracts and visas to onboarding, and maintaining our HRIS data. You'll bring 2-3 years of People Ops or HR admin experience, ideally with UK employment experience, HiBob, Deel. You are well organized, you love things to be in order and have a strong attention to detail.
Key Responsibilities

Contracts & visas
- Drafting employment contracts, offer letters, and contract amendments accurately and on time, using approved templates.
- Supporting visa and right-to-work processes for new and existing employees, including gathering documentation and liaising with immigration advisors as needed.

Onboarding administration & employee experience
- Preparing new joiner packs and ensuring all onboarding materials are ready ahead of each start date.
- Ordering and organising new joiner swag and welcome items.
- Coordinating logistics for a new joiner's first day and first week (equipment, desk setup, welcome communications) alongside IT and other teams.
- Acting as a friendly first point of contact for new joiners' admin questions during onboarding, and throughout the employee’s journey at Dwelly.

- HRIS administration
- Ensuring contracts, and all employees documents are in order, filed correctly and consistently.
- Collating and cleaning employee data to ensure accuracy and consistency across HiBob and Deel.
- Post M&A importing of newly acquired agency staff onto Hibob, and other HR systems.
- Administrating employee changes on Hibob and Deel.
- Adding new joiners to HiBob and other HR systems and maintaining accurate, up-to-date employee records throughout the employee lifecycle.
Qualifications and Preferred Background
- 2-3 years' experience in a People Ops, HR administration, or similarly detail-oriented People/HR admin role with UK contract/terms experience.
- Hands-on experience with HiBob and Deel (nice to have but not essential)
- A genuine passion for employee experience — you naturally think about how a process feels from the employee's side, not just whether it's done.
- Excellent attention to detail, particularly when working with contracts, personal data, and documentation.
- Strong organisational skills and the ability to manage multiple tasks and deadlines at once.
- A proactive, helpful attitude and comfort communicating with people at all levels.
- Good working knowledge of Google Workspace, Claude, and any other tech platforms.
- Trustworthy and discreet when handling confidential and sensitive information.

Compensation and Benefits
- Location: Remote (UK) with travel from time to time to the London office.
