The Role

At DB Cargo UK, we're currently looking for a People Services Administrator to join our People Services team at our Doncaster Head Office on a 12-month fixed-term contract.

Our People Services team plays a vital role in supporting colleagues throughout their employment journey. Working closely with colleagues across People Services, Payroll and HR Compliance, you'll provide high-quality administrative support, helping to deliver an efficient and professional HR service.

You'll play an important role in creating a positive experience for new starters by coordinating onboarding activities, maintaining accurate employee records and supporting the wider employee lifecycle.

This is a full-time position based on a 35-hour working week and offers hybrid working, with three days per week in the office.

What will you be doing?

As a People Services Administrator, you'll support a wide range of HR administration activities, ensuring our processes run smoothly and colleagues receive a great service.

You'll Be Responsible For

  • Supporting the onboarding process for new starters, including issuing contracts, coordinating pre-employment checks and ensuring all onboarding documentation is completed accurately.
  • Maintaining employee records across our HR systems, ensuring information is accurate, up to date and compliant with GDPR requirements.
  • Acting as a first point of contact for People Services queries, managing shared inboxes and responding to or directing enquiries appropriately.
  • Preparing HR documentation including contractual changes, employment letters and other employee correspondence.
  • Supporting payroll administration by processing employee changes, contractual amendments and variable payments within agreed deadlines.
  • Assisting with recruitment administration where required, including interview coordination, offer administration and pre-employment activity.
  • Carrying out regular data checks and audits to ensure compliance with internal controls and company procedures.
  • Working collaboratively with colleagues across People Services, Payroll and HR Compliance to deliver an efficient and consistent service.
  • Contributing to continuous improvement by identifying opportunities to enhance processes and improve the colleague experience.

What are we looking for?

We're looking for someone who is organised, proactive and enjoys delivering excellent customer service.

Ideally, You'll Have Experience In

  • Administrative support within HR, recruitment or a shared services environment.
  • Managing multiple priorities and deadlines in a busy administrative role.
  • Maintaining accurate records and working with confidential information.
  • Using Microsoft Office applications, particularly Word, Excel and Outlook.
  • Working With HR Or Business Systems (Workday Experience Would Be Advantageous But Isn't Essential).
