The focus of the People Services Coordinator is to deliver reward and payroll admin activities working closely with the International Reward Operations Manager, Reward Advisor, and Payroll lead.
The role is part of a broader team which spans Reward and HR Shared Services and is part of the International HR team.
The role is split approximately 50% Payroll and 50% Reward & Benefits Administration. The successful candidate needs to be comfortable moving between both areas depending on business priorities rather than viewing them as separate functions.
Please note this is an 18 month Fixed Term Contract.
Key Responsibilities
- Coordinate monthly payroll inputs (starters, leavers, overtime, changes) ensuring accuracy and completeness
- Support the payroll service provider to deliver a compliant UK payroll and ensure inputs are submitted to agreed deadlines
- Coordinate and quality-check payroll data prior to commit and support with post-commit tasks
- Support with monthly reporting to internal/external stakeholders
- Liaise with ABF Pensions and Finance in ensuring pension reports and payments are accurate and uploaded monthly
- Reconcile and produce monthly cheques for Accounting for a variety of benefits
- Support with employee payroll queries, escalating technical issues where appropriate
- Ensure GDPR compliance and confidentiality in handling sensitive data
- Support maintenance of payroll process documentation and audit evidence
- Record employee absences and process pay adjustments including buying/selling of leave and special leave
- Support calculating termination payments ensuring correct tax treatment
- Day-to-day administration of UK benefit schemes, including Bupa, Perkbox, and Octopus
- Process benefit changes (eligibility, joiners/leavers, changes in cover)
- Ensure benefit changes are accurately reflected in and communicated to Payroll
- Act as a first point of contact for reward-related employee queries (Reward inbox)
- Support employee communications (SharePoint content, internal comms)
- Raise purchase orders, manage supplier invoices, and support cost allocations and recharges for Accounting (benefit invoices, relocation invoices)
- Liaise with third party benefit providers to organise events to promote benefits
- Help Reward Advisor with projects such as living wage, short term business visitors, and pay review
- Coordinate data and documentation for reward audits and ad-hoc reviews

Skills, Knowledge and Expertise
- Administration experience including UK benefits and Payroll
- Strong data handling skills with high attention to detail
- Experience working with confidential employee data in line with GDPR
- Good working knowledge of Microsoft Excel (LookUps, Pivots, reconciliations, reporting)
- Excellent organisational and time-management skills
- Strong communication skills, both written and verbal
- Desirable
- Experience working with ADP and/or other HR / Payroll systems

- Recognised HR and/or Payroll qualification i.e. CIPD, CIPP desirable but not essential
