Role: People Services Process Coordinator
People Services Transition
LOCATION: WARSAW or LONDON
DURATION: 12 months FTC
Role Purpose
This role captures and documents HR processes currently managed within local People teams, and coordinates their structured transition into the People Services function. It ensures knowledge is transferred effectively, risks are mitigated, and processes are optimised for a scalable, service-oriented model.
What You Will Be Doing
Process Discovery & Documentation
- Partner with local People teams to identify, map, and document end-to-end HR processes across all in-scope countries.
- Create clear, standardised process documentation — SOPs, work instructions, process maps, and knowledge articles.
- Convert existing SOPs documents into Scribe where required, ensuring accuracy, formatting consistency, and accessibility within the knowledge management platform.
- Ensure documentation reflects local legal, compliance, and policy requirements.
- Identify process variations and recommend opportunities for harmonisation and simplification.
Knowledge Transfer (KT) Planning & Execution
- Develop and manage structured knowledge transfer plans for transitioning activities into People Services, using Scribe where appropriate.
- Coordinate KT sessions between subject matter experts (SMEs) and People Services teams.
- Define KT scope, timelines, and success criteria, ensuring readiness for go-live.
- Track progress and proactively manage risks, gaps, and dependencies.
- Validate knowledge transfer completion through assessments, sign-offs, or shadowing activities.
- Lead the migration of existing SOPs into Scribe, owning the end-to-end conversion workflow including quality review and sign-off.
Stakeholder Management & Coordination
- Act as the key liaison between local People teams, People Services, and project stakeholders.
- Build strong relationships to support collaboration, engagement, and knowledge sharing.
- Provide regular updates on progress, risks, and outcomes to programme leadership.
- Support change management by ensuring stakeholders are informed and prepared for transition.

Transition & Operational Readiness
- Support the People Services team to achieve operational readiness prior to go-live.
- Ensure all required documentation, access, tools, and training are in place.
- Assist with hypercare support post-transition to resolve issues and stabilise processes.
Continuous Improvement
- Identify process improvement opportunities during discovery and transition phases.
- Promote standardisation, efficiency, and scalability within People Services.
- Support ongoing updates to documentation as processes evolve.
What You Will Need To Apply
- Proven experience in HR operations, Shared Services, or HR transformation projects.
- Strong background in process documentation, process mapping, and SOP creation.
- Experience coordinating knowledge transfer or service transitions (preferred).
- Exposure to multi-country / EMEA HR environments and local compliance considerations.
- Excellent organisation and project coordination skills, with the ability to manage multiple workstreams.
- Strong stakeholder management and communication skills, with the ability to work across global teams.
- Ability to translate complex processes into clear, structured, and user-friendly documentation.
- Analytical mindset with a focus on standardisation and continuous improvement.
- Attention to detail, with the ability to identify risks and gaps proactively.
Tools & Methodologies (preferred)
- Experience with process mapping tools (e.g., Visio, Lucidchart).
- Familiarity with knowledge management systems (e.g., ServiceNow, SharePoint).
- Understanding of Shared Services operating models and transition methodologies.
- Proficiency in Scribe (or similar step-capture tools) for SOP creation and conversion.
