Executive Assistant to CEO & Leadership Team (Mat Cover)

City of London (Hybrid) / Full Time / October 2026 for 12 months

A growing specialty insurance business is seeking an experienced and highly organised Executive Assistant to support its UK CEO and Senior Leadership Team on a 12-month fixed-term contract.

This is an excellent opportunity for a proactive and professional individual who thrives in a fast-paced environment. You will provide high-level administrative and organisational support, managing priorities, coordinating activities, and helping ensure the smooth day-to-day operation of the executive function.

The successful candidate will be a confident communicator with exceptional organisational skills, strong attention to detail, and the ability to handle sensitive information with discretion. You will be comfortable managing multiple priorities while building effective working relationships across the business.

Key Responsibilities

  • Provide dedicated support to the UK CEO and additional support to members of the Senior Leadership Team as required.
  • Manage complex diaries, scheduling, meetings, and appointments.
  • Coordinate communications and ensure the effective flow of information across the business.
  • Manage executive travel arrangements, including flights, accommodation, transportation, and itineraries.
  • Handle correspondence, emails, calls, and meeting requests on behalf of the CEO.
  • Prepare presentations, reports, spreadsheets, and other business documents.
  • Maintain and improve administrative processes, filing systems, and operational workflows.
  • Monitor and manage executive expenses and related administration.
  • Organise internal meetings, team events, and off-site activities.
  • Maintain accurate records and manage confidential information with the highest level of professionalism.
  • Support ongoing projects and initiatives across the executive team.

Skills and Experience

  • Minimum of five years' experience in an Executive Assistant, Personal Assistant, or senior administrative role supporting senior executives.
  • Experience managing complex diaries and schedules.
  • Proven ability to handle confidential and sensitive information.
  • Experience overseeing expenses and executive administration.
  • Experience developing and maintaining effective administrative processes and filing systems.
  • Excellent written and verbal communication skills.
  • Outstanding organisational and time-management abilities.
  • Strong attention to detail and problem-solving skills.
  • Ability to manage multiple priorities in a fast-paced environment.
  • High level of professionalism, discretion, and integrity.
  • Proficiency in Microsoft Office applications, including Outlook, Word, Excel, and PowerPoint.
  • Experience using SharePoint and other business systems.
  • Adaptable, collaborative, and able to work effectively both independently and as part of a team.
