Personal Assistant

Location: London (hybrid working)
Contract: Part-time, 22.5 hours per week | Six-month fixed-term contract

Hours can be flexible to suit the right candidate, but must be the same each week – eg 4.5 hours per day x Mon-Fri, 7.5 hours per day x 3 days or 7 hours per day Mon-Tue, 4.25 hours per day Wed-Thurs. 2 days must be worked in the office each week regardless of the number of hours, with the remaining days worked at home.

About the role

Do you thrive on keeping busy people organised, anticipating what is needed and making sure every detail is covered? We are looking for a proactive and highly organised Personal Assistant to support our Director of Communications and Director of Music Industry Engagement.

You will play a key role in the smooth running of their day-to-day priorities, managing diaries, meetings, travel and administration. You will also help coordinate a varied programme of industry, member and stakeholder events and provide support to the wider Communications & Engagement team during busy periods.

This is a varied opportunity for someone who enjoys building strong relationships, bringing calm and structure to a fast-paced environment and delivering consistently high-quality support.

What you’ll be doing

  • Provide proactive day-to-day support to the Director of Communications and Director of Music Industry Engagement.
  • Manage and coordinate busy diaries and arrange internal and external meetings.
  • Organise meeting logistics, including room bookings, agendas, papers and notes.
  • Arrange travel and accommodation and process expenses.
  • Manage correspondence and enquiries promptly, professionally and with discretion.
  • Prepare, format and proofread documents, presentations and other materials.
  • Maintain accurate records, filing systems and shared documentation.
  • Provide cover and support for other Executive and Personal Assistants when needed.
  • Support the Communications & Engagement teams during busy periods.
  • Coordinate event logistics.
  • Maintain team trackers, action logs and planning documents.
  • Attend events where required, including occasional support outside standard office hours.

About you

We are looking for someone who is approachable, adaptable and comfortable working in a busy environment. You will take pride in the quality of your work, build positive relationships and bring calm, structure and organisation to the people and teams you support.

  • Experience in a PA, Team Assistant, administrative, events or similar coordination role.
  • Strong organisational, administrative and diary-management skills.
  • Experience coordinating meetings, events or stakeholder activities.
  • Excellent communication and interpersonal skills, with confidence working with senior stakeholders and external contacts.
  • Proficiency in Microsoft Office.
  • The ability to manage changing priorities, use initiative and anticipate needs.
  • A professional, discreet and detail-focused approach.
  • A collaborative, dependable and solutions-focused style.
