Job Description:
We are looking for a Personal Assistant to join our Enterprise Technology & Data team here at Disney!
As a Personal Assistant, the successful postholder will play a key role in providing total administrative support to our VP, Enterprise Engineering & Technology and our VP Enterprise Technology, whilst liaising with multiple contacts in EMEA and the US.
The successful individual will maintain a high and professional standard of communication between their office and all internal and external contacts, which may include the management of highly confidential information. Additionally, the postholder will use business acumen and initiative to prioritise, plan, organise and anticipate requirements well in advance in assisting those you support in their activities.
Please note: This role will be based in our London Hammersmith office, 4 days a week, with either Monday or Friday working from home.

What You Will Do
- Provide exceptional general administrative support
- Complex diary management for two Technology VP’s, working across multiple time zones
- Inbox Management
- Support the delivery of large-scale, cross-functional projects by tracking key actions, approvals, and team commitments, ensuring milestones are monitored, stakeholders remain aligned, and progress is regularly communicated.
- Coordinate project-related logistics, maintain audit trails and approval records, manage reminders and follow-ups, and provide ad hoc support for team activities, events, and operational priorities.
- Co-ordinate meetings, Prepare meeting agendas, organise conference calls
- Prioritise daily workload, in conjunction with urgent requirements, troubleshooting where necessary
- Prepare & plan agendas and logistics for regular US Senior Exec visits
- Process expenses in a timely manner via Concur system
- Manage filing system both maintaining and constantly improving the system
- Manage all travel requirements including travel itineraries and bookings – both European and International
- Ensure all travel is executed timely and with local knowledge and input
- Raise Purchase Orders through Coupa
- Ensure that all communication lines are managed effectively between the VP’s, direct reports, US Heads, UK & European LOB heads and third parties.
- Consolidate status reports and team metrics for the VPs
- Helping drive and build the culture of the team – supporting on team meetings, events, away days, off-sites as appropriate
- Organise and coordinate training events
- Flexible approach to working unsociable hours on occasion
- Provide occasional administrative support to other members of the wider team as required

Required Qualifications & Skills
- Extensive experience as a Senior Personal Assistant or Executive Assistant
- Demonstrable working knowledge of SAP and other associated administrative systems
- Experience in a fast paced, large multi-national organisation
- Proven experience supporting senior leaders in a fast-paced environment, with strong project coordination skills and the ability to track multiple workstreams, deadlines, approvals, and stakeholder commitments simultaneously.
- Highly organised with excellent attention to detail, experience maintaining audit trails and action logs, proactively managing follow-ups and reminders, and providing seamless support across both planned projects and ad hoc team initiatives.
- Excellent and advanced computer skills essential in following - Word, PowerPoint, Excel, SAP, Outlook
- Internal Disney knowledge is preferred
- Friendly, outgoing, professional and polite
- Open and approachable
- Organised and detail oriented – excellent level of accuracy
- Able to work in a deadline driven environment and meet tight deadlines
- Dynamic and enthusiastic
- Able to work autonomously, with minimal supervision, be pro-active and take initiative
- Highly discreet and aware of sensitive & confidential information and situations
- Excellent communication skills across all levels of the organisation – ability to be concise and inform

- Team player, ability to form excellent working relationships with colleagues (internally & externally)
