Personal Assistant
Location: Sutton Coldfield
Working Pattern: Hybrid, 2 to 3 days per week in the office
Hours: Monday to Friday, 9.00am to 5.30pm
The Role
We are looking for a highly articulate, polished and organised Personal Assistant to join our team in Sutton Coldfield.
This is a varied role combining traditional PA and administrative responsibilities with recruitment support. You will work closely with senior colleagues and recruitment consultants, helping to keep the day-to-day operation organised, professional and running smoothly.
This role would suit someone who is exceptionally well presented, confident speaking with clients and candidates, highly capable with technology and genuinely enjoys being the person who makes sure everything is taken care of.
You will be working in a professional recruitment environment where attention to detail, communication and presentation really matter.
What you will be doing:
- Supporting recruitment consultants with candidate resourcing and recruitment administration
- Assisting with candidate searches, database management and maintaining accurate candidate records
- Communicating professionally with clients, candidates and colleagues by telephone, email and video helping to maintain a highly professional candidate and client experience
- Organising meetings and video calls between clients, candidates and recruitment consultants such as coordinating interviews and ensuring all parties have the relevant information
- Supporting the preparation of job specifications and recruitment documentation
- Providing high-level administrative and PA support to senior colleagues and the wider recruitment team managing diaries, arranging meetings and coordinating appointments
- Preparing documents, reports, presentations and other correspondence
- Following up on actions and ensuring deadlines and appointments are met
- Managing and maintaining confidential information with discretion
- Using Microsoft 365 extensively across day-to-day activities
- Providing general administrative support wherever required

What we're looking for:
We are looking for someone who is exceptionally organised, articulate, and professional, with the confidence to represent the business when speaking with clients and candidates.
You will ideally have:
- Previous experience in a PA, Executive Assistant, Recruitment Administrator, Resourcing or similar administrative role
- Excellent spoken and written English
- A highly professional and polished telephone manner
- Confidence communicating with senior professionals and clients
- Experience conducting and participating in video calls
- Strong attention to detail and excellent organisational skills
- The ability to manage multiple priorities and stay calm under pressure
- Excellent IT skills and strong hands-on experience with Microsoft 365
- Confidence using Outlook, Word, Excel, Teams and PowerPoint
- A proactive approach and the ability to work independently
- Discretion when handling confidential information
- A smart, highly presentable and professional approach
- The ability to pick up new systems and technology quickly
