Adept Building Consultancy Ltd is an independent firm of chartered building surveyors and project consultants providing trusted, expert advice across the commercial and residential built environment. The company offers specialist services in building surveying, expert witness work, heritage buildings, commercial property, and building acquisition. Adept Building Consultancy Ltd has a diverse client base, including local authorities, universities, regional and national businesses, private clients, and high net worth individuals. The firm has surveyed and managed projects on some of the finest buildings in the north of England, including listed buildings and stately homes, giving team members exposure to high-quality and complex properties.

Role Description

The Personal Assistant role is a part-time, on-site position based in Newcastle Upon Tyne. The Personal Assistant will support the managing director and wider team members with day-to-day executive administrative tasks, including diary management, scheduling meetings, and organizing travel and appointments.

The role could be part-time or full-time.

The role requires proofreading reports and quality assurance. The role involves handling clerical duties such as preparing correspondence, maintaining records and filing systems, managing incoming calls and emails, and assisting with document preparation and formatting.

The Personal Assistant will help coordinate internal and external meetings, liaise with clients and stakeholders in a professional manner, and ensure that administrative processes run smoothly to support the delivery of consultancy projects. The successful candidate will work closely with colleagues to provide proactive, organized, and confidential support in a professional office environment.

A background in property or project management would be helpful, such as the ability to coordinate maintenance/repair works.

  • Strong Personal Assistance and Executive Administrative Assistance skills, with experience supporting senior professionals.
  • Strong ability to read reports, find and correct errors.
  • Excellent Communication abilities, including professional email and phone etiquette and confident interaction with clients and stakeholders.
  • Proficient Diary Management skills, including scheduling, prioritizing appointments, and coordinating meetings and travel.
  • Solid Clerical Skills, such as document preparation, filing, data entry, and maintaining accurate records.
  • Good IT proficiency, including MS Office (Word, Excel, Outlook) and basic document formatting.
  • High level of organization, attention to detail, and ability to manage multiple tasks and deadlines.
  • Discretion and reliability in handling confidential information and sensitive client matters.
  • Previous experience in a professional services, property, or consultancy environment is beneficial.
