Role Purpose

To provide high-quality, proactive personal assistant and administrative support, ensuring that the Head of Accounts' time, priorities, and commitments are managed effectively. The role will have primary responsibility for diary management and will coordinate meetings, communications, travel, and day-to-day administration with sound judgement, professionalism, and discretion.

This is a part-time role - 20 hours per week ideally.

Key Responsibilities

  • Own and proactively manage a busy and changing diary, scheduling and prioritizing appointments, resolving clashes, and allowing appropriate time for preparation, travel, and follow-up.
  • Act as a professional first point of contact, assessing and prioritizing meeting requests, enquiries, and correspondence and responding or redirecting them as appropriate.
  • Coordinate internal and external meetings, including meeting rooms, venues, or virtual links, agendas, and refreshments, and ensure the Head of Accounts is fully prepared.
  • Attend meetings where required to take accurate notes, record decisions and actions, and follow up progress against agreed deadlines.
  • Manage email or inbox activity as agreed, highlighting urgent matters, monitoring actions, and helping to ensure timely responses.
  • Arrange travel and accommodation, prepare clear itineraries, and process expenses accurately and promptly.
  • Prepare, format, and proofread correspondence, reports, presentations, and other documents to a consistently high standard.
  • Build effective relationships across the business and with external contacts, communicating confidently and representing the Head of Accounts and AMS Group professionally.
  • Maintain accurate and well-organized records, handling confidential and sensitive information in line with data protection requirements and company policies.
  • Anticipate upcoming priorities and deadlines, provide timely reminders, and support wider administrative tasks, meetings, events, and ad hoc projects as required.

Skills, Knowledge & Experience

Experience

  • Previous experience in a PA, executive support, or senior administrative role, ideally supporting a senior leader.
  • Demonstrable experience of managing a complex diary and balancing competing priorities in a fast-paced environment.
  • Experience of coordinating meetings, preparing documents, arranging travel, and monitoring actions and deadlines.
  • Experience within a professional services or multi-site business would be advantageous.

Skills and Knowledge

  • Highly organized, with excellent time management, attention to detail, and the ability to plan ahead.
  • Strong written and verbal communication skills, with the confidence to engage professionally with stakeholders at all levels.
  • Sound judgement, initiative, and discretion, with a clear understanding of confidentiality.
  • Calm and adaptable under pressure, able to reprioritize quickly and maintain accuracy when demands change.
  • Proficient in Microsoft Outlook, Word, PowerPoint, and Teams, with a good working knowledge of Excel and the ability to learn new systems.
  • A collaborative, flexible, and solutions-focused approach, with a strong commitment to providing excellent support.

Qualifications

  • Essential: A strong standard of written English and numeracy, supported by relevant qualifications or equivalent practical experience.
  • Desirable: A recognized business administration, secretarial, or PA qualification.

Performance Measures (Success Criteria)

  • The diary is accurate, well-prioritized, and forward-planned, with conflicts resolved promptly and minimal avoidable disruption.
  • Meetings, travel, and supporting materials are coordinated efficiently, and the supported leader is consistently well prepared.
  • Requests, correspondence, actions, and deadlines are monitored and progressed in a timely manner.
  • Work is accurate, professional, and delivered with appropriate confidentiality and discretion.
  • Internal and external stakeholders receive a responsive, helpful, and professional service.
  • Opportunities to improve administrative processes and ways of working are identified and implemented.
