Role Overview

You will provide a comprehensive level of administrative and organizational support to the CEO & Executive President (based in Paris), ensuring the efficient running of their busy diary and responsibilities.

  • Partner closely with and work as a true right hand to the CEO & Executive President
  • Extensive diary management
  • Extensive travel bookings for direct reports as well as agency-wide
  • Process credit card reconciliations in line with company policy
  • Develop a thorough understanding of the agency and clients to enable the proactive management of the diary, requests, and workload
  • Act decisively whilst prioritizing the needs of both the clients and the business
  • Sit in on calls and meetings with the CEO & Executive President to take meeting notes
  • Take meeting notes and prepare summary decks during consultancy workshops
  • Create pitch decks and keep the Agency Deck updated
  • Oversee the company’s social media accounts and website - keeping it updated in line with brand guidelines
  • Ensure the CEO & Executive President are fully prepared for each meeting, providing background information and previous meeting notes for all external, internal, and board meetings

About You

  • Previous 2+ years PA experience preferably within a creative business.
  • Previous experience managing social media accounts is beneficial.
  • London-based and willing to work from head office. A hybrid role is optional
  • Exceptional organizational skills with the ability to work across multiple projects, timelines, and deliverables simultaneously. Thrives in a fast-paced environment with a calm and flexible approach.
  • Strong communication skills, both written and verbal
  • Proficiency in Microsoft Office Suite and Google Workspace - fluent in creating professional decks within the brand guidelines
  • A high level of warm professionalism and attention to detail
  • Willingness to work independently whilst supporting the wider team in a collaborative environment
  • We expect complete confidentiality in the handling of all agencies and clients' information and projects.
