Personal Assistant - Maternity Cover FTC
Full time (37 hours per week)
Starting salary will be £24,424 (including Real Living Wage) per annum
Expected date of interviews - W/C 12th October

We're looking for a highly organised, proactive and adaptable Personal Assistant to provide exceptional support to an Executive Director and members of our Senior Leadership Group (SLG).
This is far more than a traditional PA role. You'll be a trusted partner, ensuring senior leaders can focus on delivering strategic priorities by expertly managing diaries, communications, meetings, information and relationships across the organisation.
Working as part of a collaborative PA team, you'll help deliver a seamless, high-quality service that reflects our commitment to customer excellence, continuous improvement and professional stakeholder management.
What You'll Be Doing
As a key member of the team, you'll:
- Manage complex diaries and schedules across multiple calendars
- Act as a trusted gatekeeper, prioritising requests and escalating issues where appropriate
- Manage busy inboxes, ensuring communications and actions are dealt with efficiently
- Coordinate meetings from start to finish, including agendas, papers, logistics, minute taking and follow-up actions
- Prepare reports, presentations and briefing papers
- Support travel, event and accommodation arrangements
- Build strong working relationships with colleagues, external partners and stakeholders
- Handle confidential and sensitive information with discretion and professionalism
- Maintain effective digital filing and document management systems using platforms such as SharePoint and OneDrive
- Support recruitment and people processes relating to senior roles
- Work flexibly across the PA team, providing cover and support to colleagues when required
- Anticipate leadership team needs and proactively resolve issues before they arise

Essential Experience
- Experience working in a professional office environment supporting senior managers or leadership teams
- Strong diary and inbox management skills
- Experience coordinating meetings, preparing agendas and papers, taking minutes and tracking actions
- Experience building effective relationships with internal and external stakeholders
- Experience handling confidential information appropriately
Essential Skills & Knowledge
- Excellent organisational and time management skills
- Strong written and verbal communication skills
- Ability to prioritise competing demands and meet deadlines
- Confidence using Microsoft Office applications
- Understanding of confidentiality, data protection and information governance principles
- Ability to work independently and collaboratively as part of a team
- Proactive approach with the ability to anticipate needs and take initiative
Desirable
- Experience using digital office systems and management platforms such as One Advanced
- Experience arranging travel, accommodation and events
- Experience using SharePoint and OneDrive
Person Specification
Qualifications, knowledge and understanding
- Digital approach including packages such as One Advanced (ideally but not essential) and MS Office
- Meeting management
- Stakeholder relationship and management
- Understanding of data protection, cyber security and data retention
- Event co-ordination, travel management
- Company confidentiality and legal frameworks
Experience
- Working in an office environment with hierarchical structures
- Meeting management including note taking, agendas, paperwork preparation and distribution, relationship management with attendees and stakeholders
- Diary Management
- Inbox management
- Relationship building across an organisation and external stakeholders particularly in relation to anticipating needs within the organisation

Work4 pilot
We are currently running a pilot of working a 4-day week (4DW). This is extended until end of October 2026. The pilot will then be reviewed by our board, before making a decision to extend or be made permanent.
