Job Description:
We are looking for a Personal Assistant to join our Direct-to-Consumer and Disney+ team on a 12-month fixed-term contract!

As a Personal Assistant, the successful postholder will play a key role in providing administrative support to the VP Programme and VP Marketing within the Direct to Consumer/Disney+ team, liaising with multiple contacts in EMEA and the US.
They will maintain a high professional standard of communication between their office and all internal and external contacts and manage highly confidential information. This role is an integral part of the Commercial and Analytics & Insights leadership teams.
Please note: This role will be based in our London Hammersmith office, 4 days a week, with Fridays working from home.

What You Will Do
- Provide first-class administrative support to VP Programme and VP Marketing for DTC EMEA, including:
- Full diary management for both VP’s, managing busy and complex diaries and coordinating meetings, lunches, and dinners
- Preparing meeting agendas and joining team meetings to assist with running order, action points, and follow-ups as required
- Inbox management for both VP’s, assisting with triaging emails and flagging urgent priority responses
- Manage all travel requirements for both VP’s including travel itineraries and bookings, both European and International. Ensure all travel is executed timely and with local knowledge and input
- Process expenses for both VP’s in a timely manner via Concur system, ensuring all required information is present and dealing with any issues with credit cards
- Management of multiple approval processes for both VP’s, such as holiday requests, expenses, IT requests, etc.
- Assist with recruitment process by working with internal recruitment team to schedule interviews and prioritize preparation time
- Assist with collating weekly executive reports and preparing newsletters/internal communications for VP’s
- Management of distribution lists for the Commercial and Analytics & Insights teams
- Be an integral member of the Programming and Marketing and management teams
- Confidant to both VP’s, being trusted eyes and ears to help gauge team morale and spot problems early on
- Support on team meetings, events, and away days as appropriate
- Lead on quarterly socials for both teams
- Provide support on team culture for both teams
- Provide adhoc support as required
- Raise Purchase Orders

Required Qualifications & Skills
- An experienced Personal Assistant that is comfortable within a fast-paced, large multi-national organization
- Organised and detail-oriented, with an excellent level of accuracy
- Able to work in a deadline-driven environment and meet tight deadlines
- Dynamic and enthusiastic
- Able to work autonomously, with minimal supervision, be proactive, and take initiative
- Highly discreet and aware of sensitive & confidential information and situations
- Excellent communication skills across all levels of the organisation – ability to be concise and inform
- Team player, ability to form excellent working relationships with colleagues (internally & externally)
- Excellent and advanced computer skills essential in following - Word, PowerPoint, Excel, Outlook
- An ability to confidently build relationships and engage with senior stakeholders
- Excellent communication skills both verbal and written – including document formatting and proofreading
