Job Description

The Personal Assistant/Team Coordinator plays a key role in providing high-quality support to leaders and teams, helping to ensure the smooth running of day-to-day activities and priorities. Working as a trusted partner, you'll help coordinate communications, manage schedules, anticipate needs, and proactively address challenges to support team success.

What You'll Do

  • Provide high-quality support to leaders, helping to ensure effective day-to-day operations and calendar management.
  • Act as a key point of contact, building positive relationships and communicating effectively with colleagues, partners, and stakeholders at all levels.
  • Develop a strong understanding of leadership priorities, projects, and objectives, identifying potential challenges and helping to implement practical solutions.
  • Coordinate complex diaries, internal and external meetings, and travel arrangements with accuracy and attention to detail.
  • Manage expense processes and invoice administration, ensuring compliance with company policies and procedures.
  • Support the timely creation and management of purchase orders (POs).
  • Provide administrative support to the wider management team, including diary management, travel coordination, expenses, and other business support activities where required.
  • Work collaboratively with other Personal Assistants, Executive Assistants, and support teams to ensure effective coordination and communication across the organisation.
  • Provide cover for Executive Assistants during periods of leave or absence.
  • Coordinate events and support the planning of large-scale meetings and business activities.
  • Contribute to project-based administrative activities and continuous improvement initiatives as required.

Qualifications

Who you are

  • Experience providing comprehensive administrative support to one or more senior leaders within a fast-paced and evolving business environment.
  • Strong organisational and prioritisation skills, with the ability to manage multiple tasks, adapt to changing priorities, and communicate effectively with a range of stakeholders.
  • Experience managing complex diaries, coordinating travel arrangements, and supporting the needs of senior stakeholders.
  • Ability to handle sensitive and confidential information with discretion, identify potential challenges, and take a proactive approach to resolving issues.
  • Strong digital and technical skills, including proficiency in Microsoft Office applications, particularly Outlook, PowerPoint, and Excel.
  • Ability to work independently and collaboratively, building positive relationships across teams and functions.
