About The Role
We’re looking for a highly organised and proactive Personal Assistant to provide dedicated support to our Care and Lifestyle Director and wider Operations leadership team.
This is a varied role where no two days are quite the same. You’ll play an important part in keeping the Operations function organised and running smoothly, managing a busy diary, coordinating meetings and events, supporting senior stakeholders and ensuring actions and priorities stay on track.
You’ll need to be someone who is comfortable working with senior leaders, able to manage competing priorities and confident using your own initiative to get things done.
What You’ll Be Doing
- Managing Director’s busy diary, including meetings, appointments, travel and expenses
- Managing and prioritising incoming emails, ensuring important actions are brought to the Director’s attention
- Coordinating meetings, working groups and leadership sessions, including preparing agendas, distributing papers and taking minutes
- Maintaining action logs and follow-ups, ensuring key actions are progressed and completed
- Supporting the tracking of Operations performance, including management dashboards and action plans
- Coordinating monthly 1:1 activity across the Operations teams and ensuring records are maintained
- Processing purchase orders and invoices, working with suppliers and Finance colleagues
- Organising accommodation, travel and arrangements for Directors and Operations teams
- Supporting the organisation of divisional meetings, events and other activities
- Taking ownership of ad hoc projects and business activities on behalf of our Directors

What We’re Looking For
We’re looking for an experienced administrator, PA, Executive Assistant, Team Coordinator or similar who enjoys being the person who keeps things organised and moving.
You'll ideally have:
- Previous experience in a PA, Executive Assistant, Team Coordinator or senior administrative role
- Flexibility to travel to office locations, Bournemouth, Coventry & Hatfield
- Excellent organisation and time management skills
- Strong attention to detail and accuracy
- Excellent communication and relationship-building skills
- The ability to manage confidential and sensitive information with discretion
- Confidence working with senior stakeholders
- Strong Microsoft Office and general IT skills
- The ability to manage competing priorities and work calmly under pressure
- A proactive approach, with the confidence to use your own initiative and solve problems
- The ability to build positive relationships with colleagues and external contacts

Experience of working in a fast-paced business environment and coordinating multiple stakeholders would be advantageous.
Maintains strict confidentiality in relation to sensitive business, resident, colleague and regulatory information, ensuring compliance with all company policies, data protection requirements and information governance standards.

You’ll be professional, approachable and highly organised, with a natural ability to anticipate what needs to happen next.
You’ll be comfortable challenging or chasing actions when needed, while maintaining positive relationships across the business. Most importantly, you’ll be someone who takes ownership, pays attention to the detail and enjoys making life easier for the people you support.
