Role Description

The Personal Assistant role at OKTA Construction is a full-time, on-site position based in the London Area, United Kingdom. The Personal Assistant will support the CEO with daily administrative tasks, including:

  • Managing calendars
  • Coordinating meetings
  • Organizing travel arrangements
  • Preparing documents and presentations

Responsibilities include:

  • Maintaining correspondence
  • Handling incoming calls and emails
  • Managing files and records
  • Ensuring smooth day-to-day operations

The role also involves:

  • Liaising with internal teams and external partners
  • Supporting project-related communication
  • Assisting with basic office coordination tasks when needed

The successful candidate will:

  • Maintain confidentiality
  • Prioritize multiple tasks
  • Provide proactive, organized support in a fast-paced environment

Qualifications

  • Strong Personal Assistance skills, including proactive support, task prioritization, and organization
  • Executive Administrative Assistance skills, such as calendar management, meeting coordination, and document preparation
  • Excellent Communication skills, including clear written and verbal communication and professional interaction with stakeholders
  • Effective Diary Management skills, including scheduling, planning, and time-management for senior leaders
  • Solid Clerical Skills, including filing, data entry, record keeping, and basic office administration
  • Strong attention to detail, discretion with sensitive information, and reliability in follow-through
  • Ability to work on-site in the London Area, handle competing deadlines, and adapt to changing priorities
  • Proficiency with common office software (e.g., Microsoft Office or equivalent) and digital collaboration tools
  • Prior experience as a Personal Assistant or Executive Assistant, ideally within construction, real estate, or a related industry, is beneficial

What We Offer

  • Competitive salary of £40,000 - £50,000 per annum, depending on experience
  • 40-hour working week (Monday to Friday), 8:00 am - 5:00 pm
  • 21 days’ annual leave (pro rata), plus bank holidays
  • A friendly, collaborative, and flexible working environment
