This is a 12 month FTC and will ideally be based from our Bath office but applications from other Buro Happold office locations will be considered.
We are looking for a Personal Assistant to coordinate and continuously improve Social Value systems, resources and reporting; support bids and project teams in planning, delivering, recording and communicating Social Value commitments; and provide programme and administrative support for the Work Winning Development Programme and selected senior stakeholders.
Key Responsibilities:
- Administer and continuously improve the Thrive system, maintaining accurate records of bids, projects, Social Value commitments, volunteering activity, delivery evidence and reporting data.
- Maintain Social Value resources across SharePoint, Teams, OneNote, trackers, templates, guidance, case studies and historical bid examples.
- Support Social Value Leads, Bid Teams, Project Teams and Social Value Champions to keep systems and live opportunity information accurate and up to date.
- Lead or support the Social Value element of bids, including interpreting client requirements, researching client priorities and community needs, engaging local stakeholders, recommending commitments and metrics, contributing to responses, and reviewing submissions for quality and compliance.
- Support project teams for up to six months after award with delivery planning, evidence capture, outcome reporting and Thrive record maintenance.
- Coordinate the Social Value Champions network and Office Social Value Forums through communications, meeting organisation, knowledge sharing and training.
- Produce regional and client-specific Social Value intelligence, reports, data quality checks, compliance records, case studies, award submissions and internal communications.
- Support the planning and delivery of workshops, training, charity initiatives, volunteering programmes and wider Social Value activities.
- Coordinate the Work Winning Development Programme for more than 30 participants, including diaries, meetings, venues, materials, feedback, external provider liaison, invoices and programme improvements.
- Coordinate Focus Client Sessions and PP BD Focus Sessions, and provide document, presentation, graphics, expenses, occasional travel and light diary support.

Skills & Experience
- Experience coordinating multiple workstreams, programmes, meetings and stakeholders in a busy professional environment.
- Strong administration, organisation and diary-management skills, with close attention to detail and data accuracy.
- Confident using Microsoft 365 tools, particularly SharePoint, Teams, OneNote, Word, Excel and PowerPoint; experience with project or reporting systems, including Thrive, would be beneficial.
- Ability to interpret client requirements, undertake research for regional UK offices, analyse local or client information and convert findings into clear recommendations.
- Strong written and verbal communication skills, including producing bid content, reports, guidance, case studies and presentations.
- Ability to build effective relationships with bid teams, project teams, senior stakeholders, external providers, charities and community organisations.
- Strong forward-planning skills responding to emerging internal and external issues to support proactive decision-making and effective project delivery, and the ability to manage changing priorities, deadlines and confidential information.
- Knowledge of Social Value, responsible business, community engagement or work-winning processes would be advantageous.
- High standards of confidentiality and ability to handle conflicting deadlines
- Ability to work autonomously and in a team in an organised and detailed manner
