We are recruiting an experienced and highly organised Personal Assistant
To provide proactive support to two Executives within a well-established Insurance organisation.
The role
This is a varied and fast-paced role requiring exceptional diary management, strong attention to detail and the confidence to work with senior internal and external stakeholders. You will play an important role in helping two Executives manage competing priorities and focus on strategic business activity.
Key Responsibilities
- Managing complex diaries, appointments and internal and external meetings
- Coordinating agendas, documents and supporting materials
- Taking meeting minutes, tracking actions and distributing updates
- Organising off-site meetings, presentations and company events
- Producing polished PowerPoint presentations in line with brand guidelines
- Arranging complex domestic and international travel, including detailed itineraries
- Managing expenses and reconciliations
- Providing confidential administrative and secretarial support
- Supporting wider leadership colleagues when required
- Identifying opportunities to resolve issues and improve ways of working
- Contributing to ad hoc projects across the business

You will be a proactive and adaptable Personal Assistant who is comfortable managing a varied workload in a busy environment. You will also bring:

- Strong diary management and scheduling experience
- Excellent written and verbal communication skills
- A professional and diplomatic approach
- High levels of accuracy and attention to detail
- Discretion when handling confidential information
- The ability to anticipate requirements and resolve issues proactively
- Confidence liaising with senior stakeholders
- Strong Microsoft Office skills, particularly Outlook, Word, Excel and PowerPoint
- Experience arranging complex travel and managing expenses
- Resilience and the ability to respond positively to changing priorities
- A collaborative, energetic and solutions-focused approach
