The Role
The Post Holder will be responsible for maximising the effectiveness of Vypr's executive team by ensuring leaders are organised, informed, prepared and focused on the highest-value activities.
What you will do
Enabling Leadership effectiveness
- Manage complex calendars for the Exec team, ensuring time is aligned to business priorities and strategic objectives.
- Coordinate internal and external meetings, including scheduling, logistics, agendas and follow-up actions.
- Prepare briefing materials, presentations and supporting documentation for executive meetings and events.
- Support Exec meetings by managing agendas, capturing key decisions and tracking actions to completion.
- Provide administrative and operational support to the executive team on both business and personal matters, that enables the executive team to focus on high-value strategic activities, such as coordinating travel, booking accommodation, event arrangements and calendar management of key dates.

Coordination and communication
- Act as a central coordination point across teams and stakeholders.
- Ensure smooth scheduling and organisation of key business rhythms.
- Work with our IT function to support smooth onboarding and offboarding of employees.
- Design and run the company’s operating cadence (Exec, Board, All Hands).
- Prepare high-quality board packs, reports, minutes and strategic materials.
Office and People operations
- Own the day-to-day running of the Manchester office.
- Create a welcoming, organised, and high-performing office environment.
- Manage office suppliers, facilities, and resources.
- Support the People team with administrative tasks and data management where required.
- Arrange Company events and team gatherings.
- Be a visible and trusted presence in the office.

- Ensuring the Executive team is well-supported, organised, and operating effectively.
- Maintaining visibility of executive priorities, proactively managing conflicts, deadlines and commitments.
- Delivering a high-quality office experience that supports culture and performance.
- Smooth coordination of meetings, schedules, and key business activities.
- Reliable execution of administrative and operational processes.
- External stakeholder engagement.

About you
- Previous experience as a Personal Assistant, Executive Assistant, Team Assistant, or Office Manager.
- Experience supporting senior leaders in a fast-paced environment.
- Exposure to scale-up or high-growth businesses.
- Exceptional organisational and time management skills.
- Highly proactive. You anticipate needs before they arise and are tenacious when it comes to completing tasks.
- Strong attention to detail and pride in high-quality delivery.
- Excellent communication and interpersonal skills.
- Calm under pressure, adaptable, and solutions-focused.
- Trustworthy and discreet with sensitive information.
- Comfortable being in the office and creating a positive environment.
