Responsibilities:

  • Manage and take ownership of the EVP’s calendar and scheduled meetings.
  • Proactively reschedule, hold time and gather necessary information prior to meetings to ensure EVP is properly prepared.
  • Coordinate all domestic and international travel arrangements for EVP (including visas and accommodations).
  • Be present on all meetings, record meeting minutes and ensure all action items are completed and/or followed-up on.
  • Serve as liaison with global executives and key stakeholders for coordination on meetings and projects.
  • Draft and send out various correspondence and reports to leadership teams and C-Level Executives on behalf of the EVP.
  • Submit all expenses on behalf of EVP for reimbursement through the company expense system.

Qualifications:

  • College Degree, preferred.
  • Experience with Gmail and Google Docs.
  • Experience with MS Office (Word and Excel).
  • Experience with web browsers (Chrome, Safari, Internet Explorer etc.).
  • Prior experience with Salesforce, Envisage, Greenhouse, Smartsheets or Slack, a plus.
  • At least 3 year experience in an executive assistant or administrative assistant role supporting a C-Level Executive.
  • Strong verbal and written communication skills.
  • Strong critical thinking skills.
  • Extremely detail-oriented and data-driven.
  • Superb time management and organizational skills.
  • Technologically savvy.
