Position Description

Your future duties and responsibilities

In this role, you will provide seamless support to Vice Presidents and the wider leadership team, ensuring that our executives have the structure and organisation they need to lead effectively. You’ll coordinate schedules, streamline processes, and anticipate needs, enabling leaders to focus on both day-to-day operations and long-term strategic programmes. Your role will be pivotal in keeping projects moving smoothly, maintaining governance, and supporting a culture of collaboration and delivery.

You’ll have the opportunity to take real ownership of your work, using your organisational skills and proactive approach to make a tangible difference across the business unit. Key Responsibilities:

  • Manage complex calendars and diaries for senior leaders
  • Coordinate and schedule meetings, events, and governance forums
  • Arrange travel, accommodation, and catering logistics
  • Handle procurement processes and eProcurement approvals
  • Manage holiday requests, timesheets, and expense submissions
  • Maintain visibility tools, dashboards, and internal reporting systems
  • Support desk and room bookings for onsite collaboration
  • Provide general administrative support and respond to ad hoc needs

Required Qualifications To Be Successful In This Role

To succeed, you should bring proven experience in providing executive-level administrative support, with the ability to manage competing priorities in a fast-paced environment. Strong communication, attention to detail, and excellent IT skills will be key to thriving in this role.

You should demonstrate:

  • Previous experience as a Personal Assistant or Executive Assistant (preferred)
  • Strong proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook)
  • Excellent organisational skills with the ability to prioritise effectively
  • A proactive, flexible, and professional approach to supporting senior stakeholders
