Workplace: White City, London - 3 days a week in the office (Monday, Tuesday & Wednesday)
The role
We are seeking a confident, career-driven Personal Assistant to provide exceptional administrative and calendar management support to three key leaders: our Director of Creative, Director of Media & Capability, and Director of Programme Publicity.
In this vital role, you will take full ownership of managing daily schedules, streamlining administration across multiple business areas, and keeping the day-to-day operations running seamlessly. We are looking for someone who excels at prioritising shifting demands, taking initiative, and bringing order to a busy executive landscape.
Main responsibilities
- Extensive diary management
- Arranging meetings
- Booking meeting rooms and arranging catering for meetings
- Point of contact for clients and guests visiting the office for meetings
- Proactive management of inboxes, removing junk mail, flagging priority emails
- Arranging onboarding for new starters; ensuring tech is set up and equipment is ordered
- Submitting expenses
- Support with presentations on PowerPoint and/or Google Slides when required
- Finance & Legal support; setting up suppliers, raising PO numbers, processing invoices and liaising with Legal for NDAs and SoWs when needed
- Supporting Director’s leadership teams with arranging meetings when required
- Booking nationwide and international travel and accommodation
- Preparing itineraries for business trips
- Working with team of internal PAs to ensure Viewer Leadership Team are aligned
- Providing holiday cover to other PAs
- Supporting with events, organising workshops and away days
- Manage board papers
- Supporting Directors with their wider industry responsibilities

Skills you’ll need (minimum criteria)
- Continuous experience as a Personal/Executive Assistant supporting a minimum of 2–3 Directors simultaneously in a fast-paced corporate environment.
- Must have advanced Microsoft Outlook/Google Calendar diary scheduling experience. As well as using Microsoft Office/Google Workspace apps including PowerPoint and Google Slides
- Demonstrated experience coordinating international travel itineraries, visa requirements, and organising off-site corporate events/away days for teams of 20+ people.
- Prior PA experience working within the Broadcaster, Media, Television, Entertainment, or Creative Agency sectors.
- Must have prior experience of senior stakeholder engagement at all levels
- Must be able to work autonomously

- Proactive self-starter with initiative who has the skill and the confidence to make appropriate decisions
- Enthusiastic, energetic & efficient
- Able to build strong relationships with people across the business and all levels of seniority
- Desirable if you have an interest in media, television and ITV shows
