Role Overview
Are you highly organised, proactive and confident working closely with senior management?
We are looking for a Personal Assistant to support our Sales Director and wider commercial team, providing high-quality administrative, organisational and sales support within one of the fastest-growing specialised Truck Rental companies in the country.
This is more than a traditional administration role. You will become a key support to the Sales Director, helping manage their diary, meetings, customer information and day-to-day workload. A key part of the role will involve attending sales meetings, taking accurate notes, recording actions and ensuring all relevant information is inputted onto our CRM and internal systems.
You will need to be organised, commercially aware and confident dealing with customers and colleagues at all levels. This is an excellent opportunity for someone with PA, Executive Assistant, Sales Support or Senior Administration experience who wants to develop within a fast-paced and growing business.
Key Responsibilities
- Provide day-to-day PA and administrative support to the Sales Director.
- Manage diaries, appointments, meetings and customer visits.
- Attend sales meetings and take clear, accurate notes of discussions, decisions and agreed actions.
- Input meeting notes, customer updates, actions and sales information accurately onto the CRM and internal systems.
- Maintain accurate and up-to-date customer records, contacts and sales information.
- Monitor actions following meetings and ensure key tasks are followed up and completed.
- Prepare meeting agendas, reports, presentations and other sales documentation.
- Support the Sales Director with quotations, contracts, correspondence and customer documentation.
- Handle telephone calls and emails, dealing with queries professionally or directing them to the appropriate person.
- Coordinate with workshop, logistics, finance and other internal departments on behalf of the Sales Director.
- Assist with customer visits, sales events and promotional activity in conjunction with the wider team.
- Arrange travel, accommodation and other requirements for business meetings and visits.
- Help monitor sales opportunities and ensure relevant information is recorded accurately within company systems.
- Maintain confidentiality when dealing with commercially sensitive and customer information.
- Keep up to date with company products and services to provide accurate information to customers and colleagues.
- Provide general administrative and organisational support to help the Sales Director and sales team operate effectively.

Required Skills & Experience
Essential
- Proven experience in a PA, Personal Assistant, Executive Assistant, Sales Support or senior administration role.
- Excellent organisational skills with the ability to manage multiple priorities.
- Strong written and verbal communication skills.
- Excellent note-taking skills and a high level of accuracy when recording and inputting information.
- Confident using Microsoft Office, particularly Outlook, Word and Excel.
- Comfortable using CRM, databases and other computerised systems.
- Strong attention to detail and ability to maintain accurate records.
- Professional and confident when communicating with customers, colleagues and senior management.
- Ability to work independently, use initiative and anticipate the needs of the Sales Director.
- Friendly, professional and commercially aware approach.
- Good GCSEs or equivalent in Maths and English.

Desirable
- Previous experience supporting a Sales Director, Managing Director or senior manager.
- Experience within sales, commercial administration or customer service.
- Experience within the HGV, truck rental, transport or automotive sector.
- Previous experience using CRM systems.
- Experience preparing sales reports, presentations or meeting documentation.
- Understanding of sales processes and commercial operations.
