Finance & Operations Coordinator | Part-Time | Mayfair

We’re delighted to be working with a successful, forward-thinking international art gallery & business based in Mayfair, who are looking for a Finance & Operations Coordinator to join their team on a part-time basis, working 3 days per week.

This is a varied and interesting role for someone who enjoys being at the heart of a business and getting involved across finance, operations, HR and IT. You’ll work closely with the Finance Manager and Managing Director, helping to keep the day-to-day running of the business smooth, organised and efficient.

You’ll be joining a fantastic team of people who work hard, enjoy what they do and regularly socialise together — so there’s a great balance of professionalism and a genuinely friendly culture.

What you'll be doing:

Finance & Accounting

  • Reviewing and managing company expense receipts and ensuring they are correctly categorised.
  • Supporting the Finance Manager with accurate financial information and internal reporting.
  • Liaising with regular suppliers and responding to general finance queries.
  • Supporting colleagues with expense processes and helping to improve accuracy and efficiency.
  • Assisting with the preparation of internal financial reports.

Business Operations & IT

  • Managing company software, subscriptions and information systems.
  • Reviewing licences and corporate accounts to identify efficiencies and eliminate unnecessary costs.
  • Supporting the management of hardware contracts, including company mobile phones.
  • Ensuring licence receipts and relevant documentation are available for bookkeeping.
  • Managing access to shared company resources and systems.
  • Monitoring and managing company business rates.

HR & People

  • Supporting the onboarding and offboarding of employees and workers, including IT setup, system access and HR documentation.
  • Acting as the main administrator for international payroll, working closely with their Employer of Record (EoR) provider.
  • Working with the Managing Director to draft, review and roll out staff policies and employee handbooks.

About you

We’re looking for someone who is organised, proactive and enjoys taking ownership. You’ll ideally have experience in an administration, operations, finance or HR support role, along with:

  • Strong financial literacy and excellent attention to detail.
  • Experience supporting employee onboarding and offboarding.
  • Previous payroll experience; knowledge of EoR platforms would be a bonus.
  • Confidence managing software, licences, user access and IT suppliers.
  • Excellent written and verbal communication skills.
  • The discretion and integrity required when handling confidential financial and employee information.
  • The ability to work independently, manage your time effectively and confidently juggle a varied workload.
