Personal Assistant, Trading, Hybrid (3 days in office - First One - Two Months, Four day office Presence)

We are seeking a highly organised and proactive Personal Assistant to support the Head of Sustainability and their team within a busy trading commodities business based in the city of London. This is a unique opportunity to combine high-level PA support with broader team coordination, working at the heart of a growing Sustainability function.

Personal Assistant Responsibilities

  • Complex diary and inbox management
  • Coordinating international travel arrangements
  • Managing expenses, invoicing, and purchase orders
  • Acting as a key point of contact and ensuring smooth day-to-day operations
  • Drafting and proofreading communications on behalf of the Head of Sustainability
  • Proactively managing priorities and creating time efficiencies

Team Assistant Responsibilities

  • Supporting a collaborative Sustainability team
  • Organising and coordinating team meetings (agendas, minutes, follow-ups)
  • Assisting with team events, offsites, and internal initiatives
  • Managing meeting room bookings and logistics (including catering/refreshments)
  • Providing ad hoc administrative support across the wider team
  • Helping to improve team visibility and coordination

Key skills and experience:

  • 2-3 years' experience in a PA, Team Assistant role, ideally within financial services.
  • Excellent written English skills
  • Strong diary management and organisational skills
  • Experience working in fast-paced, changing environments
  • Confidence handling administrative and finance-related tasks (expenses, POs, invoicing)
  • Excellent attention to detail, particularly when drafting or reviewing communications
  • Friendly, approachable, and highly collaborative
  • Proactive with a can-do attitude
  • Flexible and adaptable to changing priorities
  • Comfortable working without rigid processes and bringing structure where needed
  • Strong relationship-building skills across teams
