Are you highly organised, proactive, and thrive in a fast-paced environment? Do you enjoy coordinating people, travel, logistics, and solving problems daily? We're looking for a Personnel Coordinator to join our Project Personnel team, playing a vital role in supporting the mobilisation and deployment of personnel to projects across the globe. This is an exciting opportunity to work at the centre of our operations, coordinating international travel, personnel logistics, project support activities, and workforce planning for major energy and infrastructure projects.
What You'll Be Doing
No two days are the same in this role. You'll be responsible for ensuring our project personnel are in the right place, at the right time, with the right documentation and support.
Key responsibilities include:
- Coordinating mobilisation and demobilisation of personnel worldwide
- Managing global travel, accommodation, visas and work permits
- Working closely with project teams to support personnel scheduling and workforce planning
- Tracking personnel movements, availability and project assignments
- Supporting payroll, timesheets, expenses and cost tracking activities
- Maintaining personnel records, certifications and compliance documentation
- Ordering and coordinating PPE requirements for field personnel
- Supporting recruitment activities when required
- Attending project and operations meetings and helping drive continuous improvement within the team
- Participating in an out-of-hours on-call rota to support operational requirements

What We're Looking For
We're seeking someone who enjoys juggling multiple priorities while maintaining exceptional attention to detail.
You'll ideally have:
- Experience working in personnel logistics, workforce coordination, travel management or a similar operational support role
- Experience within the energy, engineering, construction, offshore or project-based sector would be advantageous
- Excellent organisational and planning skills
- Strong communication skills with the confidence to work with internal teams and external suppliers
- The ability to work under pressure and manage changing priorities
- A proactive, solutions-focused approach
- Strong administration and systems skills
- A positive attitude and willingness to support the wider business
