Job Overview

Job Title: Placements and Administration Officer

Sector: Independent Fostering Agency (IFA)

Location: UK-based - Office

Reports To: Head of Resources

Salary: £26,000 - £30,000


Key Responsibilities

Placement Coordination & Referrals

  • Process referrals: Receive, log, and triage incoming placement requests and referrals from local authorities.
  • Support matching: Assist in matching children and young people with suitable foster carers based on needs, background, and availability.
  • Liaise with stakeholders: Communicate with local authority social workers, supervising social workers, and foster carers regarding placement details.
  • Manage vacancy data: Keep the internal database and carer availability lists up to date.

Administration & Compliance

  • Maintain records: Keep accurate electronic and paper records up to date on agency databases.
  • Manage documentation: Process admission paperwork, placement agreements, and statutory checks within required timescales.
  • Support tenders: Assist in completing paperwork and data returns for local authority tenders and Ofsted datasets.
  • Handle communications: Manage general emails, telephone calls, and messages professionally and sensitively.

Person Specification

Essential Requirements

  • Experience: Previous office administration experience, ideally within social care, healthcare, or a regulated environment.
  • Organization: High level of organization with strong attention to detail and the ability to manage competing priorities under pressure.
  • Communication: Excellent written and verbal communication skills for liaising with professionals and carers.
  • IT Skills: Confident using Microsoft Office programs and secure database systems.
  • Values: A clear understanding of confidentiality, safeguarding, and the needs of vulnerable children.

Desirable Qualifications

  • A relevant qualification or background in Health & Social Care, Social Work, or Business Administration
