Job Summary

The role of Planning and Stock Coordinator involves a variety of responsibilities that are crucial for the smooth operation of an organization’s inventory management.

The role is responsible for co-packer production declarations, inventory optimization, receiving goods on JDE and planning team task to ensure uninterrupted production, cost control, and KPI achievement. The Stock Coordinator ensures optimal inventory levels of raw materials, packaging, WIP, and finished goods; maintains data integrity within JDE systems; drives continuous improvement initiatives; and ensures compliance with Quality Management System (QMS), safety, and company standards. Support and maintenance of the ISO 9001 and ISO 14001 processes, systems and producers.

Main Responsibilities / Tasks

Co-packer Planning

  • Daily, weekly and monthly production declarations against co-packer production schedule
  • Identify material requirements based on BOMs and production volumes
  • Plan material replenishment to prevent co-packer stoppages

Inventory Management

  • Oversee the receipt, storage, control, and issuing of all stock to ensure continuous availability of materials and consumables.
  • Ensure Raw material planning according to production schedule and transfer material accordingly to WIP locations.
  • Ensure FIFO principles are applied consistently
  • Ensure stock accuracy between physical inventory and system records.
  • Conduct cycle counts and assist in full physical stock takes
  • Investigate and resolving stock variances
  • Coordinate stock transfers between warehouses, production areas, and storage locations.
  • Maintain accurate recording of all inventory transactions on the ERP system.

Inventory Control & Compliance

  • Prepare and maintain: Inventory control forms and Stock variance reports
  • Ensure compliance with inventory SOPs and work instructions
  • Verify stock receipts, issues, adjustments, and returns.
  • Support audit requirements, Internal & External. (ISO 9001 and ISO 14001)

Production Support & Coordination

  • Communicate material and packaging availability status to production teams and co-packers
  • Coordinate material movements to support manufacturing requirements.
  • Support daily production adherence planning
  • Communicate potential shortages and recommend corrective actions.
  • Participate in: QRQC meetings, Level 02 meetings and Departmental planning meetings

Receiving and Dispatch Coordination

  • Verify incoming deliveries against purchase orders.
  • Ensure goods are correctly received and booked into inventory systems.
  • Coordinate stock allocation for customer orders and production needs.
  • Support dispatch activities and ensure accurate stock issuance.
  • Communicate any delayed GRNs with production and relevant interested parties

Reporting & Analysis

Compile and submit:

  • Daily production adherence reports
  • Weekly production adherence reports
  • Monthly material planning and stock performance reports

Track KPIs related to planning accuracy and stock performance

Contribute information to:

  • KPI dashboards
  • CPP reviews
  • BicUP reviews
  • Monthly SQ dashboard

Quality, Safety & Compliance

  • Ensure compliance with company quality, environmental, health, and safety (QEHS) policies and procedures.
  • Conduct and oversee internal audits to ensure QMS effectiveness, compliance, and continuous improvement.
  • Ensure raw material trials, MOCs, and PCR submissions are completed correctly and timeously.
  • Lead and support departmental 5S initiatives and workplace organization.
  • Ensure all near misses, incidents, and non-conformances are reported and addressed.
  • Enforce PPE, risk assessment, and safe working practices always.

Continuous Improvement & Stakeholder Engagement

  • Actively support and lead BIC‑UP continuous improvement initiatives.
  • Identify planning, inventory, and process improvement opportunities and drive implementation.
  • Coordinate effectively with Production, Procurement, Quality, Engineering, and Supply Chain stakeholders.
  • Model and promote BIC core competencies and ethical business conduct.
  • Knowledgeable of six-sigma tool-box tools DMAIC, value stream mapping, PDCA, FMEA, SIPOC, SPC, Root cause analysis and Cause-effect diagram.

Qualifications

  • Grade 12 or equivalent qualification.
  • Minimum 3 years prior experience as a Stock Coordinator in an FMCG environment.
  • JDE / SAP, MS Word, Excel, Outlook & PowerPoint.
  • Qualifications in Production Management/ Inventory Management/ Supply Chain Management/ Manufacturing/ CPIM or related preferred
  • JDE will be advantageous
