PLANNING SUPERVISOR

Full-time, Monday to Friday - 40 Hours per week, Permanent

£35,000 per annum

About Us

G4S Patient Transport Services (PTS) is one of the UK’s largest Non-Emergency Patient Transport providers, carrying out over 500,000 journeys on behalf of the NHS every year. With 12 operational bases across the UK and a dedicated call centre, we employ over 720 members of staff to deliver safe, caring, high-quality patient transport.

About The Role

The Planning Supervisor plays a key role within the Intelligent Patient Transport Hub (IPTH) by leading the forward planning, daily schedule optimisation, and live tactical monitoring for Non-Emergency Patient Transport Services (NEPTS) across Kent & Medway. The role is responsible for producing safe, deliverable and efficient transport plans that align available vehicles, crews and capabilities with patient demand, contractual KPIs and operational priorities.

You will supervise and develop the planning team, ensure the quality of daily plans and identify emerging capacity or performance risks at the earliest opportunity. Working closely with operational control, PTLOs, Service Assurance Managers and NHS partners, the Planning Supervisor coordinates appropriate mitigation and recovery actions before patient care or service delivery is adversely affected.

Some Of The Key Responsibilities

Planning & System Optimization

  • Align planning team roles and responsibilities with business goals, standards, and KPIs.
  • Embed map-based planning and dynamic route optimisation via Cleric.
  • Refine auto-planning outputs against patient needs, KPIs, vehicle capabilities, and route efficiency before plan release.
  • Optimise route efficiency, time-on-vehicle, and dead mileage to build resilient schedules.
  • Lead the next-day Plan, Test & Assure cycle to stress-test schedules against forecast demand.
  • Minimise vehicle resource usage to meet KPIs, releasing capacity for same-day discharges and unplanned demand.
  • Group walking and assisted patient journeys into efficient one-crew routes to maximise fill and preserve two-crew capacity.
  • Lead operational improvements for Cleric and TRIPS tools to expand automated planning capabilities.
  • Use operational learning to refine predictive logic and automated planning performance.

Performance Evaluation & KPI Management

  • Conduct exception-based reviews on high-risk journeys and track shift allocations and route densities to ensure KPI compliance.
  • Manage and authorise approved third-party resources within designated limits.

Demand Alignment & Cohort Management

  • Align capacity with clinical demand and mobility needs while protecting renal/dialysis priorities and discharge flows.
  • Integrate mobility assets, escorts, and safeguarding requirements into daily plans.

Roster & Resource Assurance

  • Review rosters to ensure appropriate vehicle cover, skill mix, and site capacity.
  • Confirm next-day resource availability against forecast demand and escalate gaps.
  • Partner with BI to analyse activity trends and reallocate resources dynamically.

Tactical Control & Business Continuity

  • Monitor plan variance via telematics and execute recovery plans to address delays.
  • Coordinate service recovery with stakeholders to minimize patient impact.
  • Maintain and test Business Continuity and Disaster Recovery plans for system outages or demand spikes.

Leadership & Stakeholder Coordination

  • Supervise, coach, and support daily controllers and dispatch staff.
  • Conduct regular 1-on-1s, manage performance, and lead competency coaching.
  • Lead staff training and succession planning to build team resilience.
  • Perform quality assurance on planning decisions to ensure operational efficiency.
  • Lead shift briefings and debriefings to ensure clear handovers.
  • Collaborate with PTLOs, NHS flow teams, and Service Assurance Managers.

Patient Safety & Quality

  • Ensure all planning decisions prioritize patient safety, dignity, and equitable access alongside efficiency.

About You

The Ideal candidate must be an experienced and collaborative supervisor with a background in fleet planning, tactical scheduling or logistics control, with the ability to deliver against contractual KPIs, operational schedules and service expectations.

You will have practical experience using digital scheduling systems such as Cleric, telematics and live tracking tools, with strong data literacy and the ability to interpret dashboards, variance reports and activity trends to drive performance and effective recovery actions.

Excellent problem-solving, time management and multitasking skills are essential, alongside strong leadership and communication skills and a proven ability to support and develop others in time-critical environments. You will be committed to continuous improvement, operational efficiency and resource optimisation, working effectively with NHS Trusts, PTLOs, BI teams and frontline crews. GCSEs (or equivalent) in Maths and English are required.

Knowledge of NEPTS, patient mobility and renal care pathways, third-party subcontractor management, taxi spend efficiency, NHS business continuity and emergency planning, or continuous improvement methodologies would be advantageous.
