Role profile

We are looking for an Operations Executive to join our Plot Sales team within Osborne Clarke’s Real Estate group. This is a key operational role, providing day-to-day support to the Plots Team and the Plots Operations Manager to ensure we deliver a consistently excellent service to our housebuilder and developer clients.

You will play an important part in monitoring plot activity, supporting site set-up, improving our processes and systems, and helping the team operate efficiently and effectively.

The role is based in Bristol, with occasional travel to Reading as required.

The role

  • Provide cover for the Plots Operations Manager when needed, including inbox monitoring and responding to queries and work requests.
  • Monitor daily and weekly plot reservations, exchanges, completions and pipelines across clients and sites.
  • Produce regular and ad hoc statistics and reports on performance and KPIs for both management and client use.
  • Support the legal and operational set-up of new sites.
  • Contribute to continuous improvement of processes and systems, including design, testing, communication, training and embedding new ways of working and system updates.
  • Assist in organising and carrying out required systems testing within the team and act as liaison between the team and system developers, collating and sharing feedback.
  • Update and maintain training guides and information relevant to the plots team and its systems.
  • Conduct periodic file and process checks to ensure adherence to quality standards and regulatory requirements.
  • Assist with onboarding and training of new team members on systems, processes, and plots-specific ways of working.
  • Provide ad hoc support to the Plots Manager and the Strategic Operations Manager, as required.

You Will Also Be Expected To

  • Provide professional support to the Real Estate group so that our clients receive a consistently excellent service.
  • Understand and adopt the principles of acting as a professional service provider.
  • Contribute to the continuous review and improvement of processes.
  • Promote a culture of mutual understanding through effective communication within Plot Sales and the wider Real Estate team.

About You

  • Experience using case management systems.
  • Experience of process improvement and/or continuous improvement initiatives.
  • Ability to work collaboratively and effectively as part of a team and with a range of stakeholders.
  • Strong organisational skills, with the ability to assess capacity and prioritise work effectively.
  • Willingness to be flexible and adaptable in order to meet the needs of the team and clients.
  • Good understanding of operational processes and the ability to prioritise and escalate appropriately.
  • Excellent IT skills, particularly Microsoft Word, Excel and Outlook.
  • Strong written and verbal communication skills.
  • Excellent attention to detail and the ability to spot errors.
  • Effective time management skills.
  • Demonstrable proactivity and problem-solving ability.
  • Willingness to share, receive and act on feedback.
